Job Description
Key Responsibilities:
1. Documentation & Dispatch
- Prepare and issue Delivery Challans (DC) for spare parts dispatch.
- Maintain proper records of all spare parts issued to internal teams and customers.
- Ensure supporting documentation is accurate and updated.
2. GRN Processing
- Handle Goods Receipt Note (GRN) entries for received spare parts.
- Verify quantity and quality of incoming materials before GRN closing.
- Coordinate with purchase and stores teams for discrepancies.
3. Purchase Coordination
- Raise Purchase Orders (PO) for spare parts based on requirements.
- Follow up with vendors for order confirmation and delivery timelines.
- Maintain vendor coordination for urgent spare requirements.
4. Payment Tracking
- Monitor payment receivables for spare parts issued.
- Coordinate with the accounts team for pending collections.
- Maintain records of issued spares against payment status.
5. Inventory Management
- Maintain accurate spare parts stock records.
- Monitor stock levels and ensure availability of critical spares.
- Conduct periodic stock verification.
- Maintain minimum and reorder stock levels.
- Required Skills:Knowledge of inventory management systems (ERP preferred)
- Understanding of DC, GRN, and PO processes
- Basic coordination with accounts and vendors
- Strong documentation and record-keeping skills
- Good communication and organizational ability
Qualification & Experience Requirements:
- Freshers and experienced candidates can apply.
- Minimum 6 months of experience in spare parts handling / stores / inventory management is preferred.
- Graduation in Mechanical Engineering is highly preferred.
- Candidates with other Engineering degrees are also encouraged to apply.
- Graduates from any discipline with relevant interest or exposure to inventory, stores, or service coordination may also be considered.
