Job Description
Job Title: Office Assistant
Job Summary:
An Office Assistant provides administrative and clerical support to ensure the smooth day-to-day operations of an office. The role involves managing office tasks, maintaining records, assisting staff, and providing excellent customer service to clients and visitors.
Key Responsibilities:
- Answer and direct phone calls, emails, and other correspondence.
- Greet and assist visitors in a professional manner.
- Schedule appointments, meetings, and maintain calendars.
- Organize and maintain filing systems, both electronic and paper.
- Prepare reports, letters, and other business documents.
- Order and maintain office supplies and equipment.
- Assist with data entry and record keeping.
- Process incoming and outgoing mail and deliveries.
- Support accounting tasks such as invoicing, expense tracking, and basic bookkeeping.
- Coordinate with vendors and service providers as needed.
- Maintain a clean, organized, and efficient office environment.
- Perform other administrative duties assigned by management.
Qualifications:
- High school diploma or equivalent; an associate degree is an advantage.
- Previous administrative or office experience preferred.
- Proficiency in Microsoft Office (Word, Excel, Outlook) and basic office equipment.
- Excellent verbal and written communication skills.
- Strong organizational and time-management abilities.
- Attention to detail and accuracy.
- Ability to multitask and work independently.
- Professional attitude with strong customer service skills.
