Job Description
Job Opening: Front Office Executive
Experience: 6 Months to 1 Year
Location: Chintadripet, Chennai
Working Days: 6 Days a Week
Weekly Off: Sunday (Fixed)
Females Preferred
Languages: English is mandatory and Hindi/Tamil preferred
Roles & Responsibilities
- Guest & Client Management
- Welcome and attend to all guests, visitors, and clients in a professional and courteous manner.
- Arrange tea/coffee or refreshments as required.
- Ensure and coordinate with the concerned persons/vendors for timely arrival of tea/coffee.
- Inform and assign visitors to the respective person they have come to meet.
- Coordinate with concerned employees to ensure timely arrival for scheduled meetings.
- Visitor & Entry Management
- Maintain proper In & Out Register for visitors and staff movement.
- Ensure accurate recording of visitor details and purpose of visit.
- Walk-in Candidate Handling
- Attend walk-in candidates courteously.
- Guide them to the HR department and ensure proper coordination for interviews.
- Telephone & Communication Handling
- Manage incoming and outgoing calls efficiently.
- Transfer calls to respective departments/personnel.
- Take accurate messages and ensure timely communication.
- Maintain professional communication standards in English (Hindi speaking is an added advantage).
- Mail & Courier Management
- Receive couriers and maintain proper records of all incoming documents/materials.
- Distribute couriers to respective departments and obtain acknowledgment if required.
- Maintain documentation related to courier dispatch and receipt.
- Administrative Support
- Ensure reception and common areas are clean and well-maintained.
- Order food, tea, coffee, or refreshments as required for meetings or guests.
- General Coordination
- Act as the first point of contact for the organization.
- Ensure smooth front office operations and maintain a professional office environment.
