Job Description
Key Responsibilities
Administrative Support
- Manage the daily schedule, meetings, appointments, and calendar of the Director / Managing Director.
- Handle emails, calls, messages, and official correspondence professionally.
- Draft letters, reports, presentations, MOM, and official documents in English.
- Maintain confidentiality in all company and management matters.
- Assist in activity management and execution of management instructions.
Coordination, Documentation & Reporting
- Coordinate with internal departments, clients, and vendors on behalf of management.
- Maintain proper documentation, records, reports, and files in an organized manner.
- Prepare MIS reports, presentations, and management summaries.
- Ensure active follow-up on pending tasks and timely completion of assignments.
- Support smooth inter-department communication and coordination.
Client Relationship Support
- Assist in maintaining professional relationships with clients and business associates.
- Coordinate meetings, client visits, and business discussions.
- Support management during client interactions and follow-ups.
Office & Travel Management
- Handle travel itineraries, hotel bookings, and meeting logistics.
- Arrange conferences, meetings, and management events.
- Maintain smooth office coordination and communication flow.
Professional Representation
- Represent the company and management professionally during meetings and events.
- Maintain a polished, professional, and positive demeanor at all times.
Required Skills
- Strong communication skills (verbal & written).
- Excellent English and Hindi communication abilities.
- Strong coordination and follow-up skills.
- Good documentation and reporting skills.
- Proficient in MS Office (Word, Excel, PowerPoint).
- Strong organizational and multitasking abilities.
- Professional email drafting and presentation skills.
- Smart, confident, presentable, and well-organized personality.
