We are looking for someone who enjoys organizing, improving systems, solving operational problems, and ensuring execution across departments.


Your Mission

Your responsibility is not just coordination.

Your responsibility is to build systems that make the company operate smoothly without constant supervision.

You will work directly with the leadership team to improve productivity, standardize operations, and ensure accountability across departments.


Key Responsibilities

1. Process Development

  • Create SOPs for every department.
  • Develop workflows for all business activities.
  • Build process documentation from scratch.
  • Standardize company operations.
  • Continuously improve existing processes.
  • Create checklists for every recurring activity.


2. Operations Management

  • Track daily work across departments.
  • Ensure tasks are completed on time.
  • Follow up with employees until closure.
  • Coordinate between construction, interior, software, HR, finance, sales, marketing, procurement, and management.
  • Escalate delays proactively.
  • Maintain operational discipline.


3. KPI Development

Design KPIs for every department, including:

  • Sales
  • HR
  • Construction
  • Interior Design
  • Site Engineers
  • Procurement
  • Finance
  • Customer Support
  • Marketing
  • Software Development
  • Administration

Track and review performance regularly.


4. MIS & Dashboard Management

Develop and maintain:

  • Daily MIS
  • Weekly MIS
  • Monthly MIS
  • Department dashboards
  • Founder dashboard
  • Management reports
  • Productivity dashboards
  • Performance scorecards

Generate actionable insights from operational data.


5. Task & Project Management

  • Assign tasks.
  • Track deadlines.
  • Monitor progress.
  • Prepare action trackers.
  • Conduct follow-ups.
  • Ensure timely completion.
  • Maintain project documentation.


6. SOP Library

Create and maintain SOPs for:

  • Recruitment
  • Employee onboarding
  • Client onboarding
  • Sales
  • Procurement
  • Site execution
  • Quality control
  • Interior execution
  • Vendor management
  • Material approval
  • Billing
  • Customer support
  • Software development
  • Administration
  • Finance
  • Compliance
  • Marketing
  • Social media
  • Meetings
  • Reporting

7. Documentation

Maintain:

  • Company policies
  • Process manuals
  • Forms
  • Templates
  • Checklists
  • Reports

8. Meeting Management

  • Schedule meetings.

  • Record Minutes of Meeting (MoM).
  • Track action items.
  • Follow up until completion.


9. Founder Support

Assist leadership by:

  • Following up on commitments.
  • Tracking critical deadlines.
  • Organizing documentation.
  • Preparing presentations.
  • Coordinating cross-functional activities.


10. HR Coordination

  • Recruitment tracking.
  • Interview scheduling.
  • Joining documentation.
  • Employee records.
  • Attendance coordination.
  • Leave records.
  • Probation reviews.
  • KPI reviews.
  • Training records.


11. Vendor & Client Coordination

  • Vendor follow-ups.
  • Client follow-ups.
  • Payment reminders.
  • Purchase tracking.
  • Documentation.
  • Communication records.


12. Continuous Improvement

Every month identify:

  • Process gaps.
  • Time wastage.
  • Repetitive work.
  • Automation opportunities.
  • Cost-saving ideas.
  • Productivity improvements.

Present recommendations to management.
