Role Overview
We are looking for an experienced Tender / Bid Executive with strong exposure to Government IT Sales and Tender Management. The candidate will be responsible for identifying government tenders, managing the end-to-end bid process, coordinating with OEMs and partners, and supporting the sales team in securing government contracts.
The ideal candidate should have prior experience in IT product or cybersecurity sales in the government sector, along with good relationships with OEM partners, distributors, and government procurement departments.
Key Responsibilities
Tender Identification & Management
- Monitor and identify relevant tenders from portals such as GeM, CPP Portal, State Government Tender Portals and PSU procurement portals.
- Evaluate tender eligibility, scope and compliance requirements.
- Maintain a database of upcoming and active tenders.
Bid Preparation & Submission
- Prepare and submit technical and commercial bids in compliance with tender requirements.
- Coordinate with internal teams to collect required documents such as technical specifications, compliance documents, certificates and declarations.
- Ensure timely submission of bids on GeM or other tender portals.
OEM & Vendor Coordination
- Coordinate with OEM partners, distributors and vendors to obtain authorization letters, datasheets, compliance documents and commercial quotations.
- Maintain relationships with OEMs across cybersecurity, networking, endpoint security, software and IT infrastructure.
Government Client Coordination
- Maintain communication with government departments, PSUs and procurement teams.
- Follow up regarding tender clarifications, presentations, evaluations and purchase orders.
Documentation & Compliance
- Prepare and maintain tender compliance sheets and documentation.
- Handle EMD submissions, bank guarantees and vendor registrations.
- Ensure compliance with government procurement policies and procedures.
Order Processing & Execution Support
- Coordinate internally for order processing after tender award.
- Liaise with procurement, logistics and finance teams for smooth order execution.
- Support the sales team in maintaining government client relationships.
Required Skills
- Strong knowledge of government tendering processes.
- Experience with GeM portal and e-tendering platforms.
- Understanding of IT products, cybersecurity solutions and software licensing.
- Strong coordination and communication skills.
- Ability to manage multiple tenders simultaneously.
Experience Requirements
- 3–5 years of experience in IT Tendering or Government Sales.
- Experience working with IT products, cybersecurity solutions or enterprise software.
- Proven track record of handling government tenders and bids.
Preferred Background
- Experience handling tenders related to cybersecurity solutions, endpoint security, networking, IT infrastructure and software licensing.
Industry Relationships
- Strong working relationships with IT OEMs, distributors, government departments, PSU procurement teams and system integrators.
Key Performance Indicators (KPIs)
- Number of tenders identified and submitted.
- Bid success ratio.
- Value of government orders secured.
- OEM relationship development.
- Timely and compliant bid submissions.
