JOB DESCRIPTION: OPERATIONS & LOGISTICS COORDINATOR

Position Summary
The Operations & Logistics Coordinator serves as the central engine room of our post-sales execution. This role bridges the gap between order acquisition, nationwide supply chain logistics, and local service delivery. The primary objective is to maintain Zero Communication Gaps, secure 100% On-Time Installations, and fiercely protect company margins by auditing and eliminating operational leakage (transit delays, unverified partner expenses, and unfulfilled service terms).
- Key Responsibilities & Essential Functions
Order Validation & Dispatch Governance
- Gatekeeping: Audit incoming sales orders against internal "Deal Sheets" to ensure 100% accuracy in commercial terms (Advance payment confirmations, Partial COD, or Hub-based COD setups).
- Inventory Alignment: Coordinate closely with the warehouse and procurement teams to verify physical stock availability before committing to dispatch schedules.
- Tracking Dissemination: Generate, input, and monitor multi-modal consignment notes/AWB numbers. Ensure tracking metadata is pushed to the client and internal stakeholders via CRM/WhatsApp within 4 hours of dispatch.
Nationwide Installation Network Management
- Proactive Sourcing: Map, vet, and recruit freelance technical executioners and regional installation partners across all active Indian states.
- Pre-emptive Booking: Initiate contact and lock in the local installation technician the exact same day the consignment leaves our central facility, rather than waiting for the cargo to land at destination hubs.
- SOP Compliance: Remotely monitor field technicians to guarantee they follow standardized product setup guidelines, safety norms, and device testing protocols.
Real-Time Customer Coordination
- Serve as the reliable operational point of contact for nationwide clients from transit initiation to project handoff.
- Proactively manage delivery expectations, notify clients regarding delivery statuses, and confirm site readiness (power provisioning, structural mounting setups) 24 hours prior to technical delivery.
- Ensure the timely collection of digitized Installation Completion Certificates (ICCs) alongside mandatory site media (unboxing clips, operational product photographs).
Expense Auditing & Cost Control
- Act as the primary line of defense against bloated operational costs. Audit travel vouchers, local technical payouts, and unexpected secondary vendor bills.
- Ensure zero payout release to out-sourced local engineers until high-resolution proof-of-work documentation is uploaded to the central database.
- Conduct monthly reconciliations of physical warehouse inventory balances against system-recorded dispatch logs to eliminate discrepancies.
Required Qualifications & Competencies
- Experience: 1–3 years of verifiable operational experience within logistics management, e-commerce dispatch desks, consumer durables distribution, or service coordination sectors.
- Technical Literacy: High proficiency in Google Workspace (Docs, Sheets), shared tracking logs, or standard CRM platforms.
- Logistical Acumen: Strong working knowledge of surface/air transport operations, regional hub models, and Pan-India courier networks (Bluedart, TCI Freight, Safexpress, Delhivery, etc.).
- Communication Style: Strong command of verbal Hindi and functional written/verbal English to navigate carrier sheets, draft business messages, and resolve cross-regional issues.
- Core Trait: Exceptionally process-driven; an individual who prioritizes systemic checklists over casual verbal confirmation.
Key Performance Indicators (KPIs) / Success Metrics
- Dispatch Turnaround (TAT): Maintaining order-to-consignment handoff within a standardized 48-hour timeline.
- Information Velocity: 100% of shipments tracked and system-updated within 4 hours of leaving dock locks.
- Installation Velocity: Successful activation of hardware within 24–48 hours of site delivery.
- Leakage Control: Keeping reverse logistics expenses (RTOs) at 0% through flawless confirmation of payment terms before the material exits the facility.

- Employment Type: Full-Time, On-Site

- Compensation: ₹18,500 – ₹22,000 Fixed Base Salary per month (Commensurate with experience)
