Job Description

Assistant Manager

The Operations team steers and supports Capability Hubs business leadership through structured reporting, stakeholder coordination, performance and KPI tracking, and programme management support for key initiatives, ensuring effective governance and smooth day‑to‑day running of the Capability Hubs business.

We are seeking a high‑performing Assistant Manager to provide direct reporting, analytics, and PMO support. This role will focus on ownership of recurring management reporting, KPI tracking, governance artefacts, and coordination of cross‑functional inputs. The role requires strong analytical capability, exceptional attention to detail, and the ability to independently manage multiple workstreams in a deadline‑driven environment. The ideal candidate will play a critical role in enabling data‑led decision making, disciplined programme management, and seamless coordination between KGS and onshore stakeholders.

Analysis and reporting

Own and deliver recurring management reporting, including headcount, cost centre, utilisation, and demand indicators, ensuring consistency and ‘first time right’ outputs
Analyse large and disparate datasets in Excel to identify trends, variances, and data integrity issues; proactively flag risks and anomalies to senior stakeholders
Develop and maintain KPI dashboards and trackers to support monthly reviews, business updates, and leadership discussions
Implement and maintain robust quality control checks across reporting inputs, ensuring accuracy, traceability, and version control

Support ad‑hoc data requests and insight generation for leadership decision‑making.

PMO and governance support

Act as PMO support for key initiatives, owning trackers, timelines, dependencies, and follow‑ups across multiple workstreams
Coordinate inputs for initiatives such as service catalogue mapping, intake forms, and operating model artefacts, ensuring completeness and timely closure
Prepare and maintain governance artefacts including action logs, issue trackers, decision registers, and status updates
Support leadership forums through structured packs, summaries, and progress updates aligned to agreed milestones.

Stakeholder coordination and executive support

Support preparation of clear, concise reports, presentations, and briefing materials for senior leadership
Support stakeholder engagement across KGS and onshore teams by managing data requests, consolidating responses, and tracking outcomes
Translate complex or fragmented inputs into structured, leadership‑ready outputs, with clear narratives and implications.

Process improvement and operational excellence

Identify opportunities to streamline reporting and PMO processes through standardisation, automation, and improved templates
Support the design and roll‑out of improved reporting frameworks
Contribute to building a consistent, scalable reporting and governance rhythm.

Educational qualifications: Postgraduate degree preferred

Work experience

10–12 years of relevant experience in reporting, analytics, PMO, operations, or business management roles within complex, matrixed organisations.
Demonstrated ability to manage multiple reporting and PMO workstreams simultaneously with minimal supervision
Strong analytical capability with a high level of comfort working with complex numbers, metrics, and datasets
Exceptional attention to detail and a strong sense of ownership and accountability
Proven ability to work effectively with senior stakeholders and cross‑functional teams
Strong problem‑solving mindset with the ability to translate ambiguity into structured outputs
Excellent written and verbal communication skills, including executive‑level presentation capability.

Preferred technical and functional skills

Advanced proficiency in MS Office Suite including PowerPoint, Word and Excel (formulas, data models, macros etc.,.)
Experience building dashboards using Power BI; exposure to automation tools such as Power Automate is an advantage
Strong documentation and tracker discipline suitable for audit and governance contexts
PMP, Prince2, or Six Sigma certification would be an advantage.
