Job Description
Breathe Superspeciality Clinic (a unit of Respirit Healthcare Pvt. Ltd.) Location: Khanapara, Guwahati, Assam Employment Type: Full-time, on-site Reports to: Clinic Operations / Marketing & Operations Lead Working Hours: 6 days a week, clinic hours (including morning OPD slots); occasional extended hours during camps or screening drives
About the RoleThe Front Desk Executive is the first and last point of contact for every patient at Breathe Clinic. This is not a passive reception role — you are responsible for the patient's entire non-clinical experience: booking, arrival, billing, checkout, and follow-up. A significant part of this role is ensuring patients return for their scheduled reviews and that lapsed patients are re-engaged. You will directly influence clinic revenue and patient outcomes.
- Key ResponsibilitiesPatient-Facing (Daily)Welcome patients, register new patients, and verify/update records for returning patients in the clinic management system
- Manage the appointment schedule across doctors and diagnostics (spirometry/PFT, allergy testing, and other services), prioritising efficient slot utilisation — especially morning hours
- Handle billing, collect payments (cash/UPI/card), issue receipts, and reconcile the day's collections before closing
- Book the follow-up before the patient leaves. Every patient with a review advised must exit with a confirmed next appointment date — this is a core, measured duty
- Coordinate patient flow between consultation, diagnostics, and pharmacy to minimise waiting time
- Handle phone, WhatsApp, and walk-in enquiries with accurate information on services, timings, and pricing
- Retention & Recall (Daily/Weekly)Work the recall tracker: call/WhatsApp patients due for review and confirm appointments
- Execute dormant patient reactivation calls and WhatsApp outreach from provided lists and message templates; log every contact attempt and outcome
- Send appointment reminders (day before and same day) to reduce no-shows
- Flag no-shows and cancellations for same-week rebooking attempts
- AdministrativeMaintain accurate, complete patient records; ensure contact numbers are captured and verified for every visit
- Prepare a simple end-of-day report: patients seen, collections, follow-ups booked, recall calls made, reactivation outcomes
- Manage front-office supplies, forms, and the general presentability of the reception area
- Support health camps, corporate screening drives, and clinic events with registration and coordination
- Handle patient feedback and complaints professionally; escalate clinical or serious matters immediately
- Key Performance Indicators (KPIs)Follow-up booking rate: % of review-advised patients leaving with a booked appointment (target ≥ 80%)
- Recall conversion: % of due-for-review patients contacted who book (tracked weekly)
- Reactivation activity: number of dormant-patient contacts completed per week against the assigned list
- No-show rate on booked appointments (target reduction via reminders)
- Cash reconciliation accuracy: zero unexplained variance at day close
- Data completeness: valid phone number and visit record for 100% of patients
RequirementsMust-have
- Graduate in any discipline (12th pass with 2+ years relevant experience also considered)
- Fluent in Assamese, English and Hindi
- Comfortable with computers: appointment software, WhatsApp Business, basic Excel/Google Sheets
- Confident and courteous on the phone — a large part of this job is outbound calling
- Reliable, punctual, and comfortable handling cash with full accountability
Preferred
- 1–3 years' experience at a clinic, hospital, diagnostic centre, or hospitality front desk
- Prior experience with patient follow-up, telecalling, or customer retention
- Familiarity with medical terminology or willingness to learn respiratory care basics (training provided)
