Job Title: Immigration Consultant – Process (Entry Level)
Role Overview
The Immigration Specialist helps manage work-based and family-based immigration cases from start to finish. In this role, you will be the main contact for clients, visa applicants, HR teams, and lawyers. Your goal is to make sure all immigration paperwork is prepared accurately, filed on time, and tracked properly while delivering great customer service.
Roles & Responsibilities
1. Daily Case Management
• Handle active immigration cases on your own while keeping details accurate and meeting all official deadlines.
• Prepare and submit visa applications
• Handle high-volume daily tasks, including:
o Collecting basic information to check if applicants qualify.
o Gathering and double-checking supporting documents.
o Sending and following up on forms and questionnaires.
o Filling out official immigration forms and building supporting filing packages.
o Submitting paperwork through government websites.
o Tracking Requests for Evidence (RFEs) and government audits.
o Keeping track of case statuses and sending updates.
o Tracking visa expiration dates and filing extensions on time.
• Balance multiple deadlines for different clients and applicants at the same time.
• Perform bulk tasks (like sending mass updates or batch filings) quickly and accurately.
• Upload, organize, and store official documents in online portals (such as USCIS, Department of Labor, and CEAC) without errors.
• Double-check forms prepared by paralegals, catching and fixing any mistakes before submission.
• Guide, train, and mentor paralegals on day-to-day procedures.
• Fix standard technical errors on government websites and work with support teams if submission issues pop up.
2. Client & Team Communication
• Act as the main point of contact for clients, applicants, HR teams, and supervising attorneys.
• Send regular updates and answer questions quickly and clearly.
• Explain the step-by-step visa process, required paperwork, and estimated timelines to clients.
• Pass complex legal questions or unique problems along to attorneys when needed.
3. File Checking & Legal Compliance
• Review supporting documents to ensure everything is complete, accurate, and consistent.
• Draft official forms, support letters, and filing folders under the direction of an attorney.
• Stay updated on changing immigration rules and policy shifts.
• Follow company guidelines, client rules, and US immigration laws strictly.
4. Improving How We Work
• Look for ways to make case handling faster, easier, and more efficient.
• Write down step-by-step guides and standard working procedures for the team.
• Help train new hires and share what you know.
• Participate in routine quality checks and case reviews.
5. Tracking & Reporting
• Create regular status reports to show overall progress.
• Keep an eye on filing deadlines and performance goals to make sure targets are met.
Qualification’s:
• Bachelor’s degree OR equivalent real-world work experience.
• Fresher’s & Experienced are Welcomed
• Working directly with immigration cases or as an immigration paralegal.
• Solid understanding of US immigration rules and government filing procedures.
• Proven ability to handle a large caseload quickly without making mistakes.
• Comfort using case management software and digital filing tools.
• Strong tech skills—able to navigate multiple websites and government portals at the same time.
• Clear written and spoken communication skills.
• Strong organization, detail-checking, and problem-solving skills.
• Ability to work well on your own while staying a solid team player.
• Experience using major government online portals, including:
o USCIS Online Account
o Department of Labor (FLAG system)
o CEAC (Consular Electronic Application Center)
o E-Verify & SEVIS
• Basic working knowledge of standard tools: Microsoft Excel (pivot tables, sorting, data tracking), Outlook, Teams, SharePoint, and document storage systems.
Preferred:
• Paralegal Certificate or an official immigration-related certification.
• Knowledge of the PERM labor process and work-based Green Cards.
• Prior experience in a law firm, corporate immigration department, or legal services company.
