Job Description

AE Square Immigration Services Pvt. Ltd. is looking for a highly organized and proactive Administration Executive to manage the day-to-day administrative operations of our office. The ideal candidate will ensure smooth office functioning by coordinating facilities, vendors, office supplies, documentation, travel arrangements, and general administrative support.

Key Responsibilities

  • Manage daily office administration and ensure smooth office operations.
  • Maintain office supplies, stationery, pantry, and inventory.
  • Coordinate with housekeeping, maintenance, security, internet, and other office services.
  • Handle office asset records and inventory management.
  • Maintain administrative documents, files, and records.
  • Coordinate office maintenance and ensure a safe, clean, and organized work environment.
  • Process purchase requests, vendor quotations, and invoice coordination.
  • Support employee on boarding by arranging workstations and office requirements.
  • Organize office meetings, events, and employee engagement activities.
  • Assist HR and Operations teams with administrative support as required.
  • Ensure compliance with company administrative policies and procedures.

Requirements

  • Bachelor's degree in any discipline.
  • 6m–3years of experience in Administration or Office Management.
  • Strong communication, organizational, and multitasking skills.
  • Proficiency in Microsoft Office (Word, Excel, Outlook, and PowerPoint).
  • Experience in vendor coordination and office administration.
  • Ability to work independently and manage multiple tasks efficiently.

Preferred

  • Experience in Immigration, Visa Consultancy, Legal Services, or a Corporate Office environment will be an added advantage
