Position SummaryMagic District is seeking a proactive and highly organized Operations Assistant – Planning & Control to support the planning, coordination, and monitoring of daily operations across all attractions. This role is responsible for ensuring that projects, maintenance activities, manpower, inventory, and operational tasks are executed according to schedule while maintaining high standards of efficiency, safety, and guest experience.
The ideal candidate should possess excellent planning, analytical, and coordination skills and be capable of working with multiple departments simultaneously.
- Key Responsibilities1. Operations PlanningPrepare daily, weekly, and monthly operational plans.
- Develop and maintain work schedules for all operational departments.
- Track execution of planned activities and ensure timely completion.
- Coordinate operational calendars for maintenance, events, promotions, and new installations.
- Monitor project timelines and report delays to management.
- 2. Planning & ControlMonitor daily operational performance against planned targets.
- Maintain planning trackers, dashboards, and progress reports.
- Ensure all assigned tasks are completed within agreed timelines.
- Identify operational bottlenecks and recommend improvements.
- Assist management in forecasting manpower and operational requirements.
- 3. Project CoordinationCoordinate with civil, electrical, carpentry, painting, fabrication, production, and technical teams.
- Monitor progress of new attraction development and renovations.
- Follow up with vendors and contractors regarding pending work.
- Ensure projects meet quality standards and deadlines.
- Prepare project status reports for management.
- 4. Manpower CoordinationPrepare daily staff deployment plans.
- Coordinate shift scheduling with department heads.
- Track attendance and manpower availability.
- Ensure sufficient staffing during weekends, holidays, and special events.
- Coordinate temporary staff whenever required.
- 5. Inventory & Resource PlanningMaintain inventory planning for operational materials.
- Track stock levels of consumables, props, costumes, maintenance supplies, and equipment.
- Coordinate procurement requests with the purchase department.
- Ensure timely availability of required resources.
- 6. Operations MonitoringConduct routine operational inspections.
- Monitor attraction readiness before opening.
- Verify cleanliness, safety, lighting, audio, and equipment functionality.
- Report maintenance issues immediately.
- Ensure all operational checklists are completed.
- 7. Documentation & ReportingPrepare daily operational reports.
- Maintain task trackers and completion reports.
- Update SOP documents whenever operational changes occur.
- Maintain records of maintenance activities and inspections.
- Generate management reports with performance metrics.
- 8. Quality ControlEnsure all attractions meet Magic District's operational standards.
- Monitor customer experience and operational consistency.
- Assist in implementing quality improvement initiatives.
- Conduct periodic audits of operational procedures.
- 9. Cross-Department CoordinationCoordinate with Finance regarding operational budgets.
- Work closely with HR on manpower planning.
- Support Marketing during promotional campaigns and events.
- Coordinate with Ticketing for operational readiness during peak periods.
- Liaise with Mall Management regarding operational requirements.
- 10. Continuous ImprovementIdentify opportunities to improve efficiency.
- Recommend cost-saving initiatives.
- Assist in implementing new operational systems and technologies.
- Participate in process improvement projects.
- Required QualificationsBachelor's degree in Business Administration, Operations Management, Engineering, or a related field.
- 1–4 years of experience in operations coordination, planning, project management, or administration.
- Strong proficiency in Microsoft Excel, Google Sheets, and Microsoft Office.
- Experience with project planning tools is an advantage.
- Preferred SkillsExcellent organizational and planning abilities.
- Strong analytical and problem-solving skills.
- Ability to manage multiple tasks simultaneously.
- Effective communication and coordination skills.
- Knowledge of operations within entertainment, retail, hospitality, or mall environments is preferred.
