Job Description
Key responsibilities• Receive customer enquiries over phone, WhatsApp and email; confirm material availability and pricing with the proprietor / Devesh.
• Issue proforma invoices, collect advance / confirmation, and convert orders in Tally / ERP.
• Coordinate with the warehouse and jobwork units for cutting, processing and dispatch readiness.
• Generate tax invoices, e-way bills and dispatch documents; share with the customer and transporter.
• Track every dispatch from gate-out to delivery confirmation; flag delays proactively to the customer.
• Daily payment follow-up with customers — outstanding statements, due-date reminders, PDC tracking.
• Maintain customer ledger reconciliation in coordination with accounts; resolve disputes on debit / credit notes.
• Maintain a sales tracker — open orders, dispatches, pending payments — and circulate a daily summary.
• Keep customer master updated (GST, billing / shipping addresses, contact persons, credit terms).
• Support Devesh on quotations, rate negotiations and customer escalations.
Must-have requirements• Graduate (B.Com preferred; any discipline acceptable with relevant experience).
• 1 – 3 years of sales coordination / back-office sales / CRM experience, ideally in steel, hardware, building materials, or B2B trading.
• Working knowledge of Tally Prime — sales invoice, e-way bill generation, customer ledger.
• Comfortable with MS Excel and WhatsApp Business for customer communication.
• Fluent in Telugu, Hindi and basic English.
• Patient, organised, and reliable on phone / WhatsApp follow-ups.
Good-to-have• Familiarity with steel terminology and dispatch documentation (LR copy, weighment slip, e-way bill, gate pass).
• Prior experience handling customer payment follow-up and ledger reconciliation.
• Exposure to GST returns coordination with accounts.
Growth pathAs HSM expands into in-house processing, the sales function will grow to include processed-product orders and external jobwork revenue. This role can grow into a Sales Coordinator / Key Accounts position handling a defined customer portfolio independently.
