Job Description
Position: Operations & Export Coordination Executive
Location: Jaipur, Rajasthan
Job Type: Full-time, Work from Office
Office Timing: 10AM to 6PM
Salary: As per experience and capability
We are looking for a smart, active, and responsible person who can handle day-to-day backend coordination for our international trading business, mainly related to our africa office.
The person will be responsible for coordinating with clients, vendors, factories, logistics partners, and our internal team. The work will include preparing quotations, Excel sheets, product comparison sheets, shipment documents, dispatch coordination, factory visits, vendor follow-ups, product photos/videos, and basic commercial/accounting coordination.
Key Responsibilities
1. Coordination with africa office for-
- New product requirements
- Ongoing orders
- Pending quotations
- Product availability
- Vendor updates
- Shipment status
- Dispatch timelines
- Documentation and commercial details
- Client requirements and follow-ups
2. Quotation & Backend Documentation, The candidate should be able to prepare:
- Product quotations
- Price comparison sheets
- Vendor quote summaries
- Excel cost sheets
- PDF quotations
- Proforma invoices
- Basic order summaries
- Product datasheets
- Client presentation sheets
- Dispatch reports
- Shipment status reports
The person should be good at making documents look clean, professional, and easy to understand.
3. Vendor Coordination & NegotiationThe candidate will have to:
- Contact vendors for prices
- Take quotations from multiple suppliers
- Compare rates and terms
- Negotiate prices
- Check product availability
- Follow up for samples, dispatch, packing, and delivery
- Maintain vendor database
- Build good vendor relationships
4. Shipment & Logistics CoordinationThe candidate will coordinate for:
- Local dispatches
- Export shipments
- Packing details
- Transport follow-ups
- Courier/cargo/logistics coordination
- Factory dispatch readiness
- Product photos before dispatch
- Loading photos/videos
- Basic document collection
- Tracking and delivery updates
Preference will be given to candidates who have some experience in logistics, export coordination, dispatch handling, or trading business.
The person should be polite, confident, and clear in communication.
7. Excel, AI & Digital WorkThe candidate should be comfortable with:
- MS Excel / Google Sheets
- Word / Google Docs
- PDF creation
- Email drafting
- WhatsApp business communication
- Basic accounting entries or understanding
- Using AI tools like ChatGPT for drafting emails, making summaries, preparing sheets, improving presentations, and faster documentation
Advanced Excel is not compulsory, but the candidate must be willing to learn and should be able to make clean and useful sheets.
- Required Skills, Good communication skills in Hindi and English
- Strong coordination ability
- Good Excel / Google Sheets knowledge

- Ability to prepare quotations and PDF documents
