Role Overview
The Assistant Service Manager will support the Service Manager in handling Tempcon’s service operations and ensuring timely, efficient, and high-quality customer support. The role involves coordinating service activities, assisting service engineers, managing spare parts coordination, handling customer communication, and ensuring smooth execution of field service operations.
The ideal candidate should have a technical background with 2–5 years of experience in service coordination or operations in industries such as HVAC, chillers, automobile, pumps, or compressors.
Key Responsibilities
1. Service Operations Support
- Assist in handling incoming service calls and customer complaints.
- Coordinate with service engineers for job allocation based on urgency and location.
- Follow up on ongoing service activities and ensure timely closure of service cases.
- Maintain service records, reports, and updates in Google Sheets/CRM systems.
- Support the Service Manager in monitoring daily service operations.
2. Team Coordination & Support
- Coordinate with service engineers for smooth field operations.
- Assist engineers with basic technical support and troubleshooting coordination.
- Ensure proper communication between customers and the service team.
- Help organize technical and operational training sessions for service staff.
3. Service Logistics & Spare Parts Coordination
- Coordinate availability of tools, equipment, and spare parts required for service activities.
- Work closely with stores and logistics teams for timely dispatch of materials.
- Monitor stock availability of frequently used spare parts.
- Support preparation of spare parts quotations and order follow-ups.
4. Customer Support & Relationship Management
- Maintain regular communication with customers regarding service updates.
- Support in resolving customer concerns and escalating critical issues to the Service Manager.
- Build and maintain positive customer relationships to improve service satisfaction.
5. Reporting & Documentation
- Prepare daily, weekly, and monthly service reports.
- Maintain documentation related to service activities, spare parts usage, and customer feedback.
- Assist in tracking service performance metrics and engineer productivity.
Key Skills & Competencies
- Basic technical knowledge of chillers, HVAC systems, refrigeration, pumps, or compressors.
- Good communication and coordination skills.
- Strong follow-up and problem-solving abilities.
- Ability to handle multiple service requests simultaneously.
- Proficiency in MS Office, Google Sheets, and basic CRM tools.
- Customer-handling and team coordination capability.
