Job Description

About the Role:


We are looking for a detail-oriented and organized Back Office Executive to support daily administrative, operational, and coordination activities of the organization. The ideal candidate should be capable of handling data management, documentation, reporting, internal coordination, and stakeholder communication efficiently. The role requires strong accuracy, time management, communication skills, and the ability to work in a fast-paced operational environment.


Key Responsibilities:


Accurately enter, update, and maintain customer data, vendor information, operational records, and documentation in company databases and systems.


Manage administrative documentation including invoices, purchase orders, contracts, operational records, and internal reports.


Coordinate with front-office, sales, accounts, logistics, operations, and other departments to ensure smooth workflow and timely execution of tasks.


Prepare and maintain daily, weekly, and monthly operational reports with high accuracy and timely reporting.


Handle customer, vendor, and stakeholder communication through email and phone professionally and ensure prompt responses to internal and external communications.


Support digital inventory management, filing, document organization, and general administrative activities.


Allocate work to junior executives and monitor their daily output to ensure operational targets and reporting requirements are achieved efficiently.


Collate, compile, verify, and maintain operational data and reports for management visibility with accuracy and speed.


Ensure proper maintenance of records, confidentiality of company information, and adherence to organizational processes and SOPs.


Qualifications & Experience:


• Bachelor’s degree in Business Administration, Commerce, Management, or related field.


• Proven experience as a Back Office Executive, Administrative Executive, Operations Coordinator, or similar role.


• Proficiency in MS Office applications including Word, Excel, and PowerPoint.


• Knowledge of CRM software, ERP systems, or operational management tools preferred.


• Strong attention to detail, accuracy, and organizational skills.


• Excellent verbal and written communication skills.


• Ability to handle multiple tasks, coordinate with teams, and work within deadlines.


• Experience in environmental services, recycling, logistics, or operational industries preferred.
