Job Description
Role overview
The Receptionist is the first point of contact for all walk-in customers, vendors, and visitors at M L Roy and Co Sanitations Ltd. This role is responsible for creating a warm and professional first impression, managing front-desk operations, channelling enquiries to the right departments, and providing general administrative support to ensure smooth day-to-day functioning of the showroom and office.
Key responsibilities
- Welcome and greet walk-in customers, visitors and vendors warmly and professionally
- Manage the front desk and ensure the reception area is tidy and presentable at all times
- Answer and route incoming phone calls; take and relay messages accurately
- Register walk-in customers and direct them to the appropriate sales officer
- Maintain a daily visitor log and customer enquiry register
- Handle basic product enquiries and provide general showroom information
- Schedule and coordinate appointments for the sales team and management
- Manage incoming and outgoing correspondence — letters, courier, emails
- Assist in maintaining office records, files and documentation
- Coordinate with the accounts and sales teams for order-related follow-ups
- Handle basic customer complaints at the front desk and escalate promptly
- Support management with clerical and administrative tasks as required
- Monitor office supplies inventory and raise indent for replenishment
- Assist in preparation of basic MIS reports and data entry as needed
- Manage on spot billing
Required skills
- Pleasant personality with excellent spoken communication in Bengali, Hindi and English
- Professional telephone etiquette and front-desk manners
- Strong organisational and multitasking ability
- Proficiency in MS Office — Word, Excel, and basic email handling
- Knowledge of Tally is mandatory
- Ability to remain calm and composed under busy showroom conditions
- Attention to detail in maintaining records and registers
- Discretion and professionalism in handling sensitive information
