Academic Counsellor – Roles & ResponsibilitiesPosition SummaryThe Academic Counsellor is responsible for guiding prospective and enrolled students regarding suitable courses, career opportunities, admissions, and academic progress. The role requires excellent communication, counselling, and follow-up skills to ensure student satisfaction and admission targets are achieved.

  • Key Roles & Responsibilities
  • 1. Student Counselling & AdmissionsCounsel prospective students regarding available courses, career prospects, eligibility criteria, and program benefits.
  • Understand students' educational background and career goals to recommend appropriate programs.
  • Convert inquiries into admissions through effective counselling and relationship-building.
  • Conduct telephonic, online, and face-to-face counselling sessions.
  • Explain course structure, fees, scholarship schemes, installment plans, and certification details.


  • 2. Lead ManagementFollow up with inquiries received through websites, social media, walk-ins, referrals, seminars, and marketing campaigns.
  • Maintain accurate records of leads, follow-ups, and admission status in CRM or reporting systems.
  • Ensure timely response to all student inquiries.


  • 3. Admission Process ManagementAssist students with application forms, document submission, fee payment, and enrollment procedures.
  • Verify admission documents and maintain student records.
  • Coordinate with accounts and academic departments for smooth admission processing.


  • 4. Student Relationship ManagementBuild and maintain strong relationships with students throughout their learning journey.
  • Address student concerns and coordinate with relevant departments for resolution.
  • Ensure high student satisfaction and retention.


  • 5. Academic CoordinationCommunicate class schedules, examination dates, assignments, and important academic updates to students.
  • Monitor student attendance and participation.
  • Encourage students to complete courses and certifications on time.


  • 6. Career Guidance & Placement SupportGuide students regarding career opportunities in Clinical Research, Pharmacovigilance, Medical Coding, Regulatory Affairs, Medical Writing, and related domains.
  • Assist students with interview preparation, resume building, and professional development activities.
  • Coordinate with the placement team for job opportunities and placement activities.


  • 7. Reporting & DocumentationSubmit daily, weekly, and monthly counselling reports.
  • Track admissions, conversions, pending follow-ups, and revenue generated.
  • Maintain confidentiality of student and organizational information.


  • 8. Marketing SupportParticipate in seminars, webinars, workshops, educational fairs, and college visits when required.
  • Support lead generation activities and promotional campaigns.
  • Collect student testimonials and success stories.


  • Key Performance Indicators (KPIs)
  • Number of counselling sessions conducted.
  • Lead-to-admission conversion ratio.
  • Monthly admission targets achieved.
  • Student satisfaction and retention rate.
  • Follow-up efficiency and response time.
  • Revenue generated through admissions.
