E-Commerce Despatch Executive

1 Order Processing

• Download and verify orders received from approved e-commerce platforms.
• Check stock availability in coordination with Stores/Warehouse.
• Generate invoices, shipping labels, and packing slips through ERP or system software.

2 Dispatch Operations

• Coordinate packing and dispatch of cycles, accessories, and spare parts as per company standards.
• Ensure correct product, quantity, and model verification prior to dispatch.
• Arrange courier bookings and transportation through authorized logistics partners.
• Ensure dispatch within prescribed timelines.

3 Documentation Control

• Prepare and maintain dispatch-related documents including:
• Tax Invoice
• Delivery Challan
• E-Way Bill (where applicable)
• Courier Manifest
• Maintain proper dispatch records and daily dispatch reports.

4 Inventory Coordination

• Coordinate with Stores and Production Departments regarding stock availability.
• Update dispatch details in ERP/MS Excel records.
• Immediately report shortages, damages, or discrepancies to reporting authority.

5 Shipment Tracking & Returns

• Monitor shipment tracking and delivery status.
• Coordinate with logistics partners for delivery issues or delays.
• Process returns, exchanges, and RTO shipments as per company procedure.

6 Communication & Email Management

• Draft professional emails for dispatch confirmation, shipment updates, and operational communication.
• Maintain proper email correspondence with internal departments, courier partners, and customer support teams.
• Ensure timely response to operational emails.

7 Quality Compliance

• Conduct pre-dispatch quality verification.
• Ensure proper packing standards to minimize transit damage.
• Follow company dispatch SOP and safety standards.
