Job Description – Admin Executive
Position : Admin Executive
Department : Administration & Accounts
Location : Madurai
Employment Type : Full-Time
Experience : Fresher / 0–2 Years
Job Purpose
To support the organization's day-to-day administrative and accounting operations by maintaining office records, managing financial transactions, coordinating with vendors, and ensuring smooth and efficient office functioning.
Roles & Responsibilities
* Manage daily office administration activities and ensure smooth office operations.
* Maintain and organize office records, files, and documents with accuracy and confidentiality.
* Handle incoming calls, emails, and correspondence professionally.
* Coordinate with vendors for office supplies, maintenance, and other administrative services.
* Record daily financial transactions and maintain accounting records.
* Prepare and process invoices, purchase orders, payment vouchers, and receipts.
* Handle accounts payable and accounts receivable activities.
* Reconcile bank statements and maintain cash and petty cash records.
* Assist in preparing GST, TDS, and other statutory compliance documents.
* Prepare MIS reports and support monthly financial closing activities.
* Verify bills, expense claims, and supporting documents.
* Provide administrative support to senior leadership and department heads.
* Collaborate with cross-functional teams to ensure seamless administrative and accounting operations.
* Maintain confidentiality of company and financial information at all times.
Required Skills
* Basic knowledge of Accounting Principles and Bookkeeping.
* Proficiency in MS Office (Word, Excel, PowerPoint, and Outlook).
* Good knowledge of MS Excel functions and data management.
* Strong organizational and time management skills.
* Good verbal and written communication skills.
* Ability to maintain records and documents with accuracy and confidentiality.
* Basic knowledge of GST, TDS, and statutory compliance.
* Good analytical and problem-solving skills.
* Ability to multitask and prioritize work effectively.
* Team player with a positive and professional attitude.
Preferred Skills
* Experience with Tally ERP / Tally Prime, QuickBooks.
* Knowledge of invoice processing and bank reconciliation.
* Experience in vendor management and office administration.
* Understanding of Accounts Payable (AP) and Accounts Receivable (AR).
* Experience in preparing MIS reports.
* Ability to work independently and adapt to changing business requirements.
Qualification
* B.Com / M.Com / BBA / MBA (Finance) or equivalent, or Any Degree.
* Freshers and candidates with up to 2 years of experience are welcome to apply.
