Data Entry Operator

Role Overview

This is not a simple data entry job. You will manage our digital presence, daily operations, billing, stock tracking, and customer communication. You will work closely with the store owner and be responsible for keeping all systems running accurately and on time. If you enjoy being organized, working with technology, and taking ownership of your work — this role is for you.

Daily Responsibilities

Billing & Accounts Support

• Generate GST tax invoices daily using billing software
• Record daily sales figures reported by sales staff
• Send payment reminders to parties as needed
• Process online bank payments 2-3 times per week via bank portal

Stock & Expiry Management

• Update and maintain daily stock records in Excel/billing software
• Maintain expiry date tracker — flag all items within 10 days of expiry to supervisor
• Weekly stock reconciliation — match physical stock with system entries
• Maintain distributor order log — what was ordered, what arrived, pending deliveries

Label Printing & Product Management

• Print product labels using label printing software
• Enter new products with correct details — weight, MRP, batch number, nutritional value, manufacturing and expiry dates
• Ensure all packed products on shelf have correct and updated labels at all times

Online Platforms — Swiggy, Zomato & Website

• Update product listings, prices, availability, and photos on Swiggy and Zomato dashboards daily
• Upload new products and update prices on Vijay Stores website
• Monitor order status and coordinate with store staff for online order fulfillment

Google Business Profile

• Keep Google profile updated — hours, photos, new products, offers
• Respond to all customer reviews within 24 hours in a professional and friendly manner
• Post weekly updates on Google profile (new arrivals, festival specials)

Customer Communication

• Manage WhatsApp broadcast list — send weekly messages to customers on new arrivals, offers, and festival specials
• Log any customer complaints or feedback and report to owner same day
• Assist in drafting simple promotional messages for festivals and offers

Festival & Promotions Planning

• Maintain a 3-month forward festival calendar (Diwali, Ganpati, Rakshabandhan, Holi, Christmas, Eid and all major Indian festivals)
• Prepare pre-festival stock notes and sales reports for owner review
• Post every major festival — compile sales summary, what worked, what didn't, stock gaps observed

Reporting

• Daily sales report shared with owner by end of day
• Weekly stock and expiry summary every Monday morning
• Competitor price check on Swiggy/Zomato once a week — brief note to owner if any adjustment needed
• Monthly summary of Google profile performance — views, calls, review count

General

• Take product photos on mobile for website and platform uploads as needed
• Manage and organize all computer files systematically — invoices, reports, photos, festival notes
• Remove and file printouts daily — maintain clean and organized workspace
