Job Description
Job Summary - The Receptionist is responsible for managing the front desk, welcoming visitors, handling incoming calls, and providing administrative support to ensure the smooth operation of the office. The role requires excellent communication skills, professionalism, and strong organizational abilities.
Key Responsibilities
- Greet and welcome visitors, clients, and guests in a professional manner.
- Answer, screen, and direct incoming phone calls.
- Manage the reception area and maintain a clean and organized environment.
- Schedule appointments and maintain meeting room bookings.
- Handle incoming and outgoing mail, courier services, and deliveries.
- Maintain visitor logs and issue visitor passes when required.
- Provide administrative support such as filing, data entry, photocopying, and document management.
- Coordinate with various departments regarding visitor and office requirements.
- Monitor office supplies and place orders when necessary.
- Assist in organizing meetings, events, and office activities.
- Respond to general inquiries and provide accurate information to visitors and employees.
Required Qualifications
- High school diploma or equivalent; additional administrative qualifications are an advantage.
- Proven experience as a Receptionist, Front Desk Executive, or similar role preferred.
- Proficiency in Microsoft Office (Word, Excel, Outlook).
- Excellent verbal and written communication skills.
- Strong organizational and multitasking abilities.
- Professional appearance and customer-service orientation.
