Job Description

We are looking for an Accounts & Purchase Executive who will primarily handle purchase operations, vendor coordination, procurement follow-ups, purchase entries, invoice checking and stock-related coordination.


This is not a pure accounting role. The main accountability is to ensure that materials, fabrics, trims, packaging items, printing materials, and other production-related purchases are ordered on time, received correctly, billed properly, and recorded accurately.


The candidate should be disciplined, detail-oriented, good with follow-ups, and comfortable coordinating with vendors, production & sales team.


  1. Key Responsibilities Handle day-to-day purchase requirements for fabric, trims, packaging material, stationery, consumables, and production-related items.
  2. Coordinate with vendors for quotations, availability, pricing, delivery timelines, and payment terms.
  3. Compare vendor prices and negotiate basic purchase rates wherever required.
  4. Prepare and maintain purchase orders as per internal requirements.
  5. Follow up with vendors to ensure timely delivery of ordered materials.
  6. Coordinate with production and inventory teams to understand material requirements and urgency.
  7. Check purchase invoices against purchase orders, delivery challans, and received quantities.
  8. Ensure received material quantity and quality are verified with the concerned team before processing invoices.
  9. Maintain proper records of purchase bills, vendor details, delivery challans, and payment status.
  10. Enter purchase bills and related transactions in accounting/ERP software.
  11. Coordinate with the accounts team for vendor payments and outstanding balances.
  12. Track vendor advances, pending bills, credit notes, and payment follow-ups.
  13. Maintain updated vendor master data including GST details, bank details, contact details, and product categories.
  14. Support monthly stock reconciliation by coordinating purchase records with inventory entries.
  15. Follow up internally for missing bills, pending approvals, or material confirmation.
  16. Assist in GST invoice checking, including GST number, tax rate, HSN/SAC, invoice value, and billing details.
  17. Maintain proper filing of physical and digital purchase/account documents.
  18. Prepare basic MIS reports related to purchases, pending orders, vendor payments, and monthly procurement.
  19. Support the accounts team in basic bookkeeping, expense entries, and document verification.
  20. Ensure all purchases are properly approved, documented, and aligned with company process.


Purchase-Specific ResponsibilitiesThe candidate will be responsible for managing purchase activities for:


  • Fabrics and garment materials
  • Sublimation printing paper, ink, and production consumables
  • Threads, zippers, elastics, labels, tags, polybags, cartons, and packaging materials
  • Office and factory consumables
  • Merchandise and corporate gifting products
  • Outsourced job-work materials and vendor services
  • Urgent production purchases based on order requirements


Accounts-Specific ResponsibilitiesThe candidate should support the accounts team with:


  • Purchase & Sales bill entries
  • Expense entries
  • Vendor ledger checking
  • Payment follow-up coordination
  • GST invoice verification
  • Debit/credit note coordination
  • Basic reconciliation of vendor accounts
  • Document filing and audit support
  • Required SkillsGood vendor coordination and follow-up skills
  • Basic accounting knowledge
  • Purchase order and invoice checking ability
  • Good understanding of GST invoices
  • Basic Excel knowledge
  • Ability to compare prices and maintain purchase records
  • Good communication skills in Hindi and basic English
  • Ability to work with production and warehouse teams
  • Strong attention to detail
  • Comfortable with daily follow-ups and deadline pressure



Software Knowledge Preferred.


  • Odoo ERP
  • Tally
  • MS Excel / Google Sheets
  • Basic accounting or inventory software


Education:

B.Com / Graduate / Diploma in Accounts, Commerce, Purchase, or related field


Experience:

1–3 years preferred in purchase, accounts, procurement, inventory coordination, or vendor management.


Industry Preference:

Garment manufacturing, printing, textiles, packaging, merchandising, e-commerce, or production-based company.
