JOB TITLE: Tendering & Back Office Executive

About the RoleWe are looking for a dedicated and detail-oriented Tendering & Back Office Executive to support our business operations. The ideal candidate should possess strong communication skills, excellent computer proficiency, and the ability to handle tendering activities, administrative functions, and day-to-day office coordination efficiently.
- Key ResponsibilitiesTendering ActivitiesSearch and identify relevant tenders from various government and private portals.
- Prepare, compile, and submit tender documents within specified deadlines.
- Coordinate with internal departments for collection of technical and commercial documents.
- Maintain records of submitted tenders, bid status, and tender-related correspondence.
- Monitor tender schedules, amendments, and updates.
- Back Office OperationsManage day-to-day administrative and office support activities.
- Prepare and maintain reports, databases, and documentation.
- Update daily work reports and management reports.
- Maintain records, files, and company documents systematically.
- Coordinate with vendors, clients, and internal teams for operational requirements.
- Communication & CorrespondenceDraft professional letters, quotations, and business correspondence.
- Handle official email communications with clients, vendors, and government authorities.
- Prepare and send emails independently with proper business etiquette.
- Follow up on pending communications and maintain correspondence records.
- Documentation & ReportingPrepare letters, proposals, and other business documents.
- Generate and update daily, weekly, and monthly reports.
- Maintain accurate records of ongoing projects and office activities.
- Assist management in preparing presentations and business documents.
- Required Skills & QualificationsGraduate in any discipline.
- Freshers and experienced candidates are encouraged to apply.
- Good verbal and written communication skills in English.
- Proficiency in MS Office Suite, including:
- MS Word
- MS Excel
- MS PowerPoint
- Outlook / Email Management
- Good computer operating knowledge and familiarity with Windows operating systems.
- Ability to draft professional emails and business letters.
- Knowledge of tendering procedures and documentation will be an added advantage.
- Strong organizational and time-management skills.
- Ability to work independently as well as in a team environment.
- Preferred AttributesAttention to detail and accuracy in documentation.
- Professional attitude and willingness to learn.
- Ability to handle multiple tasks and meet deadlines.
- Strong coordination and follow-up skills.
