Senior Manager - Admin & Procurement

Key Responsibilities: 

The role will be responsible for the following key tasks:

  • End to end responsibility of planning and execution of all activities for managing admin and procurement for all projects sites and offices to ensure smooth operations

  • Feasibility studies and execution for establishment of facilities like Labour Camps, Transport, Food and all other facilities at new sites and managing all facilities at all existing sites with continuous improvements for betterment

  • Identification of suitable vendors and service providers to support the business / project operations at all sites, covering the services like Workforce Accommodation/ Transport/ Food/Canteen Services, Manpower, Transport, Office establishments, Guest House etc. by taking care of all compliances without any deviations

  • Complete responsibility of thorough evaluation, negotiations, recommendation and on-boarding of suitable vendors for the services and supplies, as per process / SOP.

  • Complete responsibility of coordination for creation of PRs/POs and follow-up for approval for POs

  • SPOC for all vendors and employees for verification, certification, and follow-up for approvals for processing of invoices and travel claims & employee expenses based on documents submitted for validation

  • Taking care of all requests of site operations and follow-up for payouts including advances, rents, monthly payments and payouts against approved invoices etc.

  • Prepare and present periodic reports on Invoices, Costs, GRN, PR, PO and Payout status, including any variances and expending pending issues.

  • Ensure all GRN and PO processes comply with internal policies and relevant legal requirements.

  • Maintain accurate and up-to-date records of all transactions, ensuring they are accessible for audits.
