Job Summary
The Accounts Executive is responsible for managing day-to-day accounting operations, ensuring financial accuracy, statutory compliance, and proper documentation of all financial transactions related to domestic and international travel operations. The role includes invoicing, GST and TDS compliance, vendor payments, reconciliation, and financial reporting. Maintaining accurate books, handling receivables/payables, and ensuring compliance with accounting standards are core duties.
Key Roles & Responsibilities
1. Day-to-Day Accounting Operations
· Maintain accurate accounting records in Tally / Zoho / accounting software.
· Record all financial transactions including receipts, payments, journal entries, and expenses.
· Maintain ledgers, vouchers, and supporting documents.
· Monitor daily cash flow, bank transactions, and petty cash.
· Maintain travel-related financial records such as visa fees, airline payments, hotel bookings, and supplier payments.
2. Billing, Invoicing & Revenue Management
· Generate invoices for domestic and international tour packages, visa services, flight tickets, and travel services.
· Ensure GST-compliant invoicing and maintain proper tax records.
· Track accounts receivable and follow up for outstanding payments.
· Record advance payments, deposits, and client settlements.
· Coordinate with sales and operations team for billing accuracy.
Issuing invoices, tracking receivables, and maintaining payment records are core accounting responsibilities.
3. Accounts Payable & Vendor Management
· Process payments to airlines, hotels, visa agents, transport vendors, and international suppliers.
· Verify vendor invoices and ensure accuracy before payment.
· Maintain vendor ledger and reconcile vendor balances.
· Ensure timely vendor payments and maintain supplier relationships.
4. Bank & Financial Reconciliation
· Perform daily, weekly, and monthly bank reconciliations.
· Reconcile client payments, supplier payments, and company accounts.
· Identify and resolve discrepancies in financial records.
Bank and ledger reconciliation ensures financial accuracy and compliance.
5. GST, TDS & Statutory Compliance
· Prepare and file GST returns (GSTR-1, GSTR-3B, etc.).
· Reconcile GST input and output tax.
· Deduct, calculate, and file TDS returns.
· Maintain GST and TDS documentation.
· Coordinate with CA for statutory filings and compliance.
Handling GST and TDS filings, reconciliations, and statutory compliance is a key duty of Accounts Executives.
6. International Transaction & Travel Accounting
· Record foreign currency transactions and maintain exchange rate records.
· Track payments related to international tours, visa services, and overseas vendors.
· Ensure proper accounting of international remittances and inward payments.
· Maintain reconciliation of foreign transactions.
7. Financial Reporting & MIS
· Prepare monthly MIS reports for management.
· Provide reports on revenue, expenses, profit, and outstanding receivables.
· Assist in preparing balance sheets, profit & loss statements, and financial summaries.
· Support financial planning and budgeting.
Accounts Executives help prepare financial reports and MIS statements for management decisions.
8. Audit & Compliance Support
· Maintain proper documentation for audits.
· Assist auditors and CA during internal and external audits.
· Ensure compliance with company policies and statutory requirements.
· Maintain financial confidentiality.
9. Coordination & Administrative Support
· Coordinate with sales, operations, visa, and ticketing teams for financial updates.
· Assist management in financial planning and analysis.
· Ensure timely completion of all accounting tasks.
Key Performance Indicators (KPIs)
· Accuracy in accounting records
· Timely GST & TDS filings
· Timely invoicing and collections
· Proper reconciliation of accounts
· Compliance with statutory and company policies
· Financial reporting accuracy and timeliness
Required Skills & Qualifications
· Bachelor’s Degree in Commerce (B.Com), Finance, or Accounting
· 1–5 years experience in accounting (Travel industry preferred)
· Knowledge of GST, TDS, and Indian taxation
· Experience with Tally / Zoho / accounting software
· Strong Excel skills
· Attention to detail and accuracy
· Ability to handle confidential financial information
