Job Description
1. Procurement Planning
Understand project requirements and prepare purchase plans based on BOQ (Bill of Quantities) and site needs.
Coordinate with project managers, site engineers, and store teams for material requirements.
2. Vendor Management
Identify, evaluate, and onboard reliable vendors and suppliers.
Maintain strong relationships with existing vendors for timely supply and better negotiation.
3. Quotation & Negotiation
Float RFQs (Request for Quotation) and collect quotations from multiple vendors.
Compare rates, quality, and delivery timelines to finalize the best vendor.
Negotiate pricing, payment terms, and delivery schedules.
4. Purchase Order (PO) Management
Prepare and issue Purchase Orders as per approved terms.
Ensure accuracy in quantity, specifications, pricing, and delivery timelines.
5. Material Coordination
Track material deliveries and ensure timely supply to project sites.
Coordinate with logistics and stores to avoid delays or shortages.
6. Quality & Compliance
Ensure procured materials meet required quality standards and specifications.
Coordinate with site/store team for material inspection and approvals.
7. Cost Control
Monitor market rates and maintain cost-effective purchasing.
Work towards cost reduction without compromising quality.
8. Inventory Coordination
Coordinate with stores for stock availability and avoid overstocking or shortages.
Maintain proper documentation of inward/outward materials.
9. Documentation & Records
Maintain records of purchase orders, invoices, quotations, and vendor details.
Ensure proper documentation for audits and internal controls.
10. Billing & Payment Follow-up
Verify vendor invoices with PO and delivery details.
Coordinate with accounts team for timely payment processing.
11. Market Research
Stay updated with market trends, material prices, and new suppliers.
Explore alternative materials or vendors for cost efficiency.
12. Coordination with Internal Teams
Work closely with accounts, stores, and project teams for smooth procurement operations.
