Job Description

Role Summary

The Office Administrator is the operational backbone of the centre, ensuring smooth day-to-day functioning across academics and administration. The role works closely with the Centre Head to manage scheduling, attendance, student engagement, and the daily running of the centre, with regular floor presence to stay connected to students and faculty.

Key Responsibilities

Centre Operations

  • Support the Centre Head in managing daily operations and ensuring the centre runs smoothly end to end.
  • Visit and move across centre floors/classrooms regularly to monitor activity and resolve on-ground issues.
  • Maintain office records, supplies, and basic facility coordination.

Student Engagement & Feedback

  • Interact with students regularly to understand their experience and address concerns.
  • Collect, record, and consolidate student (and where relevant, parent) feedback, and escalate recurring issues to the Centre Head.
  • Act as a first point of contact for student queries on schedules, materials, and logistics.

Attendance Management

  • Track and maintain accurate daily attendance for students and faculty.
  • Flag attendance gaps and irregularities to the Centre Head and follow up as needed.

Teacher & Class Scheduling

  • Prepare and maintain the weekly teacher timetable in coordination with the Centre Head.
  • Manage substitutions, rescheduling, and clash resolution to ensure no class disruption.
  • Communicate schedule changes promptly to faculty and students.

Coordination & Reporting

  • Liaise between faculty, students, and the Centre Head to keep information flowing.
  • Maintain operational reports (attendance summaries, feedback logs, scheduling updates) for the Centre Head.

Requirements

  • Graduate in any discipline (Bachelor's degree).
  • 1–3 years of experience in administration, operations, or a coordination role (education sector preferred).
  • Strong organizational and multitasking ability.
  • Good communication skills in [English / Hindi / Marathi].
  • Comfortable with MS Office / Google Workspace and basic record-keeping tools.
  • Approachable, proactive, and comfortable being on the floor and interacting with students daily.
