Job Description
1. IT Infrastructure Management
Maintain and manage all computers, servers, networks, and storage systems used in the office.
Ensure smooth connectivity for LAN, Wi‑Fi, printers, and plotters.
Oversee data backup, recovery, and cloud storage systems.
Maintain and manage active and passive servers.
2. Software Installation & Support
Install, configure, and update design software such as AutoCAD, Revit, SketchUp, Rhino, Lumion,
Photoshop, etc.
Troubleshoot software crashes, license issues, and performance problems.
Ensure software version compatibility across all systems and teams.
Maintain inventory and records of all software licenses.
3. System Security & Data Protection
Implement and manage antivirus software, firewalls, and access controls.
Protect sensitive project files and client data from cyber threats.
Conduct regular data backups and ensure recovery systems are functional.
4. User Support & Troubleshooting
Provide technical assistance to architects, designers, and administrative staff.
Ensure quick resolution of IT issues to minimize downtime during critical project phases.
5. Network Administration
Manage active and passive network servers, routers, switches, and internet connections.
Monitor network performance and troubleshoot connectivity or speed issues.
Coordinate with ISPs and IT vendors when required.

6. Hardware Management
Maintain, service, and repair computers, printers, plotters, and scanners.
Recommend and procure new IT equipment based on project and office requirements.
Manage asset inventory for all IT hardware and software licenses.
7. BIM & Collaboration Support
Support BIM workflows and ensure seamless collaboration among project teams.
Set up and manage shared drives and cloud collaboration tools such as BIM 360, Autodesk Docs, and
Revit Server.
8. IT Policy & Process Development
Develop and enforce IT usage policies, including file‑naming conventions and data storage
protocols.
Ensure compliance with company and client IT standards.
Train staff on cybersecurity best practices, new software tools, and data protection measures.
9. Software Coordination
Monitor software license renewals, upgrades, and related troubleshooting.
10. Innovation & System Upgrades
Stay updated with emerging technologies in architecture and design, including AI tools, VR/AR
visualization, and cloud rendering.
Recommend and implement IT solutions to improve efficiency and collaboration.
11. Printing & Document Handling
Manage printing of all office documents.
Upload, scan, and archive required documents.
12. Hardware Repairs
Repair and coordinate servicing of all IT hardware.
13. Data Backup & Compliance
Ensure automated daily backups of all critical data.
Define and document backup locations, frequency, and retention periods.
Establish recovery procedures for data loss, system failures, or cyber incidents.
Conduct periodic verification of backup integrity.
Ensure data compliance across all users in the organization.
14. File Management & Sharing
Ensure proper file sharing, saving, and standardized folder‑naming practices.
Manage secure file access for employees working from home.
15. Work Delegation Support
Assist in IT‑related delegation and access control for assigned tasks.
16. IT Consultancy
Provide IT consultancy services, including preparation of SLDs for new and existing projects or
establishments.
17. E‑Tendering & Online Portals
Support e‑tendering processes and documentation.
Maintain updated records of online tenders and regularly track their status.
18. Email & Communication Support
Monitor and assist with official email systems as required.
19. User & Access Management
Create user IDs and system access for new joinees.
Manage user data for interns and employees on the server.
Allocate and manage file server/Synology server access rights without affecting other users or
systems.
20. HR & Administrative IT Support
Provide attendance reports from the software to the HR Manager on a regular basis.
Report suspicious activities or security breaches immediately to the HR Manager or authorized
personal. It defines the comprehensive scope and responsibilities of the IT Executive to ensure
smooth, secure, and efficient IT operations at Kapoor and Associates.
