Role Purpose
Support day to day benefits administration and employee communications for Austria, manage ServiceNow content and ticketing, handle standard and special case processing, and provide transactional compensation support for annual review activities and salary file maintenance. Ensure GDPR compliant handling of benefits and compensation data.
Responsibilities
1. Benefits Administration & Lifecycle
• Process enrollments, changes, terminations and renewals for statutory and voluntary benefits; maintain records in Workday/Employee Central.
• Perform monthly/yearly portal checks to validate eligibility, contract validity and document accuracy (Well pass, insurance, company life insurance, childcare subsidy).
2. ServiceNow Content, Ticketing & Reporting
• Submit and action HR service content updates and new service requests via ServiceNow; generate recurring ServiceNow reports (# tickets, article views) and ad hoc reports for Payroll/Accounts.
• Maintain ServiceNow knowledge articles and FAQs; update salary governance documentation as directed.
3. Standard Communications & Onboarding
• Collect candidate documents, assist recruiters with offer letters and upload documents on behalf of candidates when needed.
• Support processing of rejects and follow up with candidates.
6. Compensation Support (Transactional)
• Assist with data collection for annual review: gather headcount, turnover, recruiting inputs, and inflation data; support creation of salary workbooks and basic presentation materials.
• Update ServiceNow with approved salary changes and support distribution of manager/employee communications per guidance.
8. Process Documentation & Continuous Improvement
• Update SOPs and integrate findings from audits, platform and special cases into process and communication updates.
Primary System: Workday, ServiceNow, HR Suite/BMD; Employee Central; ASES (month end tasks); JobRad Portal; Wellpass Portal; SharePoint; SAP Ariba; Docusign; M365 (Outlook, Excel, Teams); Canva; Adobe Creative Suite.
Qualifications we seek in you!
Minimum Qualifications
• Bachelor’s degree in HR, Business or related field.
• Practical experience with ServiceNow and HRIS; strong Excel skills.
• Basic understanding of Austrian statutory benefits, compensation, collective agreements and GDPR.
• Good verbal and written communication skills.
• Willingness to work 5 days from office in client specific shift.
Preferred Qualifications/ Skills
• Strong organizational and multitasking skills.
• Familiarity with enterprise service management tools (e.g., ServiceNow) is essential for this role.
• Effective communication and interpersonal abilities.
• Experience with JobRad, Wellpass or similar H&W platforms.
• Familiarity with payroll interfaces, ASES month end processes and SAP Ariba invoice flows.
• SharePoint content management and basic reporting skills.
