Inviting applications for the role of Process Associate/Process Developer — Global Mobility Austria — High Complexity | Execution & Administration |
Role Purpose
Support end to end administration of global mobility activities for Austria (host for ASH; home and host for AT and selected S/E countries). Execute assignment lifecycle tasks, maintain accurate mobility records, support immigration and vendor interactions, and ensure GDPR compliant handling of assignee data. Provide operational support for relocation, repatriation, localization and work permit processes.
Responsibilities
1. Assignment Initiation & Request Management
• Initiate assignment cases in the Assignment Management Tool (AMT) based on business inputs; capture required data and support documents.
• Maintain tasks and approvals; update HR system and local records as required
2. Documentation Preparation & Maintenance
• Prepare offer sheets, balance sheets, cost estimation templates and data protection information notices.
• Collect employer documentation for immigration and work permit submissions
3. Immigration & Work Permit Support
• Liaise with vendors and third party providers to support visa/work permit applications; collect and upload required documents; follow up on status.
• Coordinate quarterly checks for expired permits and ensure valid permits are stored in HR systems.
4. Stakeholder Communication
• Provide standard communications to leaders, PAs, assignees, client’s team and recruitment; manage routine queries and ticketing
System: Workday, ServiceNow, AMT; HR Suite; BMD; Global Advantage; Allianz portal; Mercer portal; SAP Ariba; Concur; ASES; Office package (Excel, Outlook, Teams);
Qualifications we seek in you!
Minimum Qualifications
• Bachelor’s degree in HR, Business, Law or related field.
• Practical experience with HRIS or similar case management tools and MS Excel.
• Basic understanding of Austrian immigration, social security and GDPR requirements.
• Good communication skills in English.
• Willingness to work 5 days from office in client specific shift.
Preferred Qualifications/ Skills
• Experience with BMD, SAP Ariba, Global Advantage or Mercer tools.
• Familiarity with work permit processes.
• Strong attention to detail, stakeholder orientation and ability to manage multiple cases.
