Job Description
Job Summary: We are looking for a detail-oriented and organized Admin & Inventory Executive to manage office administration, inventory control, and provide recruitment support for our facility management operations. The ideal candidate should have experience in maintaining inventory records, coordinating with FM, Supervisor and vendor, handling office administration, and assisting in hiring both technical and non-technical manpower such as electricians, plumbers, masons, technicians, housekeeping staff, and security personnel.
Key Responsibilities
- Inventory Management
- Maintain accurate records of uniforms, tools, PPE, consumables, stationery, and other inventory items.
- Monitor stock levels and ensure timely replenishment.
- Maintain inward and outward registers for inventory movement.
- Coordinate with vendors for procurement and deliveries.
- Conduct regular physical stock verification and reconcile discrepancies.
- Prepare inventory reports on a weekly and monthly basis.
- Ensure proper storage and tracking of company assets.
- Administration
- Handle day-to-day office administration activities.
- Maintain office files, documents, and records.
- Coordinate with vendors for office maintenance and supplies.
- Manage courier services, office utilities, and housekeeping arrangements.
- Support management in administrative and operational tasks.
- Ensure smooth functioning of office operations.
- Recruitment Support
- Source and coordinate candidates for technical and non-technical positions.
- Hire blue-collar manpower including:
- Electricians
- Plumbers
- Masons
- Technicians
- Housekeeping Staff
- Security Guards
- Gardeners
- Multi-skilled Workers
- Schedule interviews and coordinate with department heads.
- Maintain recruitment tracker and candidate database.
- Assist in onboarding and documentation of new employees.
- Documentation & Reporting
- Maintain employee records and inventory documentation.
- Prepare MIS reports related to inventory and recruitment.
- Ensure proper filing of purchase bills, stock registers, and administrative records.
- Support compliance-related documentation whenever required.
Required Skills
- Strong knowledge of inventory management and stock control.
- Good administrative and organizational skills.
- Basic knowledge of recruitment, especially blue-collar hiring.
- Proficiency in MS Excel, Word, and Outlook.
- Good communication and coordination skills.
- Ability to work under pressure and manage multiple tasks.
- Strong attention to detail and record-keeping.
Preferred Qualifications
- Graduate in any discipline.
- 2–5 years of experience in Administration, Inventory, or Operations.
- Experience in the Facility Management industry will be preferred.
- Familiarity with technical and non-technical manpower hiring.
- Knowledge of procurement and vendor coordination is an added advantage.
