We are looking for a highly organised, proactive, and trustworthy Executive Assistant to work closely with the Founder and senior management, ensuring smooth day-to-day operations and efficient execution of business activities.
Job ResponsibilitiesThe Executive Assistant will serve as a key support resource to the Founder and management team, handling administrative, operational, and coordination responsibilities.
Executive Support
• Manage the Founder’s daily schedule, calendar, appointments, and meetings.
• Coordinate internal and external meetings, ensuring all arrangements are completed in advance.
• Prioritise appointments and manage scheduling conflicts efficiently.
• Prepare meeting agendas, take notes when required, and follow up on action items.
• Handle confidential information with the highest level of professionalism and discretion.
Communication & Coordination
• Draft professional emails, letters, presentations, reports, and other business documents.
• Act as the primary point of coordination between the Founder, employees, clients, agencies, and external partners.
• Follow up with internal departments, vendors, clients, and stakeholders to ensure timely completion of assigned tasks.
• Manage incoming calls, messages, and official correspondence.
• Coordinate travel arrangements, hotel bookings, meetings, and event logistics whenever required.
Administrative & Operational Support
• Maintain organised digital and physical records, documents, contracts, and business files.
• Prepare reports, presentations, spreadsheets, and business summaries.
• Assist in preparing proposals, agreements, invoices, quotations, and other business documentation.
• Monitor ongoing projects and ensure deadlines are met.
• Maintain office records and assist in daily operational activities.
• Coordinate with different departments to ensure smooth execution of ongoing work.
AI & Productivity Tools (Mandatory)The candidate should be comfortable using modern AI tools to improve efficiency and productivity.
Practical working knowledge of the following is preferred:
• ChatGPT
• Google Gemini
• AI productivity tools
The candidate should be able to use AI for:
• Drafting professional emails and documents
• Preparing reports and presentations
• Meeting summaries
• Research and information gathering
• Creating presentations and business content
• Document formatting and editing
• Task planning and workflow optimisation
Computer SkillsThe candidate should have good working knowledge of:
• Microsoft Word
• Microsoft Excel
• Microsoft PowerPoint
• Google Docs
• Google Sheets
• Google Drive
• Google Calendar
• Gmail
• Cloud storage and file management systems

Preferred Qualifications
• Graduate in Business Administration, Commerce, Management, Marketing, or any related discipline.
• 2–5 years of experience as an Executive Assistant, Personal Assistant, Administrative Executive, or Operations Executive.
• Experience working with senior management or business founders will be an added advantage.
Working HoursMonday to Saturday
10:00 AM to 7:00 PM
