Purchase Assistant

KRA – Purchase cum Inventory Manager1. Procurement Management

• Identify and evaluate vendors for raw materials, packaging, and other supplies.
• Negotiate pricing, payment terms, and delivery schedules.
• Ensure timely procurement to avoid production delays.
• Generate and manage Purchase Orders (POs).

2. Inventory Control & Management

• Maintain optimal stock levels (RM, PM, FG) to prevent shortages or overstocking.
• Monitor stock movement and ensure proper FIFO/FEFO practices.
• Conduct periodic physical stock verification and reconcile discrepancies.
• Track slow-moving and dead stock and take corrective actions.

3. Tally Operations & Data Management

• Maintain accurate entries of purchase, stock, and consumption in Tally.
• Generate inventory reports, stock summaries, and purchase registers.
• Ensure proper accounting of GRN (Goods Receipt Note) and invoices.
• Coordinate with accounts for payment processing and reconciliation.

4. Vendor Coordination

• Maintain strong relationships with suppliers.
• Follow up on pending orders and ensure timely dispatch.
• Handle quality issues, returns, and replacements with vendors.

5. Cost Control & Budgeting

• Monitor purchase costs and identify cost-saving opportunities.
• Compare quotations and prepare cost analysis reports.
• Ensure procurement within approved budgets.

6. Documentation & Compliance

• Maintain proper documentation of POs, invoices, delivery challans, and stock records.
• Ensure compliance with company policies and audit requirements.
• Support internal and external audits.

7. Coordination with Internal Teams

• Work closely with production, sales, and accounts teams for demand planning.
• Ensure material availability as per production schedules.
• Share stock reports with management regularly.
