Job Description: MD Assistant – Front Office
Job Summary:
We are seeking a highly organized, professional, and proactive MD Assistant – Front Office Executive to provide administrative and secretarial support to the Managing Director while ensuring efficient front office operations. The ideal candidate should possess excellent communication, coordination, and time-management skills, with the ability to handle confidential information professionally.
Key Responsibilities :-
- Executive Support
- Manage the Managing Director's calendar, appointments, and meeting schedules.
- Coordinate internal and external meetings and prepare meeting agendas and minutes.
- Handle correspondence, emails, phone calls, and follow-up communications on behalf of the MD.
- Arrange travel, accommodation, and logistics for business trips.
- Prepare reports, presentations, and business documents as required.
- Front Office Management
- Welcome and assist visitors, clients, and business associates professionally.
- Manage incoming calls and direct inquiries to the appropriate departments.
- Maintain visitor records and ensure smooth reception operations.
- Coordinate meeting room bookings and hospitality arrangements.
- Administrative Duties
- Maintain confidential files, records, and documents.
- Coordinate with internal departments for task completion and follow-ups.
- Support office administration and ensure efficient workflow.
- Manage office correspondence, courier services, and document control.
Required Skills:-
- Excellent verbal and written communication skills.
- Strong organizational and multitasking abilities.
- Proficiency in MS Office (Word, Excel, PowerPoint, Outlook).
- Professional presentation and interpersonal skills.
- Ability to maintain confidentiality and discretion.
- Strong coordination and problem-solving skills.
Qualifications:-
- Bachelor's degree in Business Administration, Commerce, Arts, or a related field.
- 2–5 years of experience as an Executive Assistant, Secretary, or Front Office Executive.
- Experience supporting senior management will be an added advantage.
