Position: Accounts / Purchase Executive
Employment Type: Full-time

To support our expanding operations, we are looking for a dynamic and organized Accounts / Purchase Executive who can take care of multiple back-office functions with efficiency and responsibility.
Role
The Accounts / Purchase Executive will play a key role in handling the day-to-day purchasing, and responsible for coordinating with vendors and suppliers, handling purchase orders, maintaining accounts data, and ensuring smooth internal processes.

Key Responsibilities
- Purchase & Procurement
- Handle the entire purchase cycle — from material requirement to order placement.
- Identify and source reliable vendors/suppliers for HVAC materials, tools, and consumables.
- Request quotations, negotiate rates, and prepare comparative statements.
- Issue purchase orders (PO) and track delivery schedules.
- Maintain purchase register and supplier database.
- Coordinate with project and site teams for timely material supply.
- Verify bills and delivery challans against purchase orders before forwarding to accounts.
- Ensure cost control and timely availability of required materials.
- Accounts & Finance Support
- Maintain petty cash records and daily expense registers.
- Record and organize all vouchers, receipts, and bills systematically.
- Support in preparing invoices, quotations, and work orders for clients.
- Maintain ledgers for vendors, clients, and internal expenses.
- Coordinate with the external accountant for GST, TDS, and statutory filing.
- Reconcile supplier payments and follow up on outstanding dues.
- Assist management in budgeting and financial record-keeping.
- Office Administration & Coordination
- Handle day-to-day office administration and support management tasks.
- Coordinate between project sites, vendors, and clients for smooth communication.
- Prepare and maintain documentation, reports, and correspondence.
- Manage company emails, phone calls, and filing systems.
- Support senior management in operational planning and scheduling.
- Required Skills and Competencies
- Good communication skills (Hindi & English – verbal and written).
- Sound knowledge of MS Office (Excel, Word, Outlook, etc.).
- Basic knowledge of accounting software like Tally / Busy preferred.
- Strong negotiation and vendor management skills.
- Time management, accuracy, and attention to detail.
- Ability to handle multitasking and work under limited supervision.
- Honest, disciplined, and responsible attitude toward work.
- Education & Experience
- Bachelor’s Degree in Commerce, Management, or equivalent field.
- Minimum 2–5 years of relevant experience Accounts, or Purchase.
- Experience in the HVAC / Mechanical / Construction industry will be an advantage.
