Job Description: Intern (Purchase & Administration)
Department: Purchase & Administration
Location: Vansum Industries
Reporting To: Senior Purchase Executive / Management
Job Summary:
The Intern- Purchase & Administration will support the Purchase Department in day-to-day procurement activities and assist in sourcing and coordination activities related to ongoing and upcoming projects undertaken for clients. The candidate will also provide administrative support to ensure the smooth functioning of office operations.
Key Responsibilities
Purchase & Procurement Support
- Assist the Purchase Department in routine procurement activities.
- Obtain quotations from vendors and suppliers for various materials and services whenever required.
- Prepare comparative statements and assist in vendor evaluation.
- Follow up with suppliers regarding quotations, deliveries, and order status.
- Maintain purchase records, supplier databases, and procurement documentation.
- Assist in preparing Purchase Orders and related purchase documents.
- Support procurement activities related to ongoing and planned client projects under the guidance of senior personnel.
- Monitor delivery schedules and assist in resolving supply-related issues.
Project Procurement Support
- Assist senior team members in sourcing materials and services required for project execution.
- Coordinate with vendors to ensure timely availability of materials for client-specific requirements.
- Maintain project procurement records and status reports.
- Support cost analysis and budgeting activities related to project purchases.
Administration Support
- Assist in day-to-day administrative and office management activities.
- Maintain records, files, registers, and documentation in an organized manner.
- Coordinate with service providers, vendors, and office support personnel.
- Support office correspondence, data entry, and document management activities.
- Coordinate logistics and other administrative requirements as assigned.
- Support HR and Accounts departments with administrative tasks whenever required.
Required Qualifications
- Graduate or pursuing graduation in Commerce, Business Administration, Supply Chain Management, Engineering, or a related field.
- Freshers and candidates seeking industrial exposure are encouraged to apply.

- Good communication and interpersonal skills.
- Basic understanding of procurement and supply chain processes.
- Proficiency in MS Office (Excel, Word, Outlook, PowerPoint).
- Strong organizational and documentation skills.

- Willingness to learn and take initiative.
