Procurement Manager Role Tasks (Strategic Role)

This is a strategic role focused on decision-making, vendor management, and cost leadership — not routine purchase execution

Procurement Strategy and Planning

·        Plan and manage material procurement based on project and production requirements

·        Align purchases with business goals, project timelines, and cash flow

·        Decide best buying approach (bulk / project-based / rate contracts)

·        Plan in advance to manage price fluctuations and avoid urgent buying

·        Vendor Sourcing and Development

·        Identify and develop reliable suppliers for all key materials

·        Build strong long-term relationships with major vendors (steel, PEB, industrial materials)

·        Add alternate vendors to reduce dependency and risk

·        Evaluate and improve vendor performance regularly

Negotiation and Cost Management

·        Lead negotiations for major purchases to achieve best price and terms

·        Compare quotations and finalize cost-effective deals

·        Track market trends and take timely buying decisions

·        Drive continuous cost saving without compromising quality

·        Purchase Order and Commercial Control

·        Review and approve high-value Purchase Orders

·        Ensure clarity in specifications, pricing, and delivery terms

·        Maintain control on commercial terms and commitments

·        Ensure all procurement activities follow company policies

Process and System Management

·        Set and improve procurement processes (Indent, RFQ, PO, tracking)

·        Ensure proper documentation and system control

·        Drive ERP usage and improve data accuracy

·        Bring standardization and transparency in procurement

·        Delivery and Supply Coordination

·        Ensure timely availability of materials as per project needs

·        Coordinate with suppliers, logistics, and internal teams

·        Resolve delays, shortages, and supply issues quickly

·        Avoid production loss due to procurement gaps

Inventory and Working Capital Management

Maintain balance between stock availability and cash flow

Avoid overstocking and emergency purchases

Improve inventory turnover and reduce holding cost

·        Plan purchases to optimize working capital

·        Team Leadership and Development

·        Lead and guide Purchase Executive(s) and support staff

·        Define clear roles: Manager (strategy & decisions), Executive (execution)

·        Set targets and monitor team performance

·        Train team on negotiation, market understanding, and systems

Cross-Functional Coordination

·        Work closely with Production, Projects, Stores, QA, and Finance teams

·        Ensure alignment between demand, supply, and execution timelines

·        Act as a bridge between internal teams and suppliers

·        Support smooth project execution through effective procurement

Risk Management and Compliance

·        Identify risks like price changes, supplier dependency, and delays

·        Develop backup plans (alternate vendors, safety stock)

·        Ensure compliance with company policies and audit requirements

·        Maintain proper documentation for all procurement activities

Reporting and Performance Tracking

·        Track cost savings, procurement efficiency, and vendor performance

·        Monitor key metrics like lead time, emergency purchases, and inventory levels

·        Prepare reports for management review and decision-making

·        Continuously improve procurement performance
