Job Title: Export Documentation Executive – With Accounting Knowledge

We are looking for a responsible and detail-oriented Export Documentation Executive with basic to good knowledge of accounting. The candidate will be responsible for preparing export documents, coordinating with CHA, shipping lines, transporters, banks, and customers, and maintaining export-related accounting records.

Key ResponsibilitiesExport DocumentationPrepare and manage all export documents, including:

  • Commercial Invoice
  • Packing List
  • Shipping Bill details
  • E-way Bill
  • Bill of Lading instructions
  • Certificate of Origin
  • Health Certificate / Phytosanitary Certificate, if required
  • Fumigation Certificate, if required
  • Insurance documents
  • Bank documents
  • Buyer documents as per requirement
  • Export CoordinationCoordinate with CHA, freight forwarders, shipping lines, transporters, and inspection agencies.
  • Follow up for container booking, stuffing, vessel schedule, BL draft, and final BL.
  • Maintain shipment records and export files.
  • Track shipments and update management/customers.
  • Handle export-related email communication with customers and agents.
  • Accounting Knowledge RequiredBasic knowledge of Tally / accounting software.
  • Prepare sales invoices and export invoices.
  • Maintain purchase, sales, payment, and receipt entries.
  • GST knowledge, including export under LUT / Bond.
  • Basic understanding of bank realization, BRC, FIRC, and foreign remittance.
  • Maintain debtor and creditor records.
  • Coordinate with CA/accountant for GST returns, export records, and bank documents.
  • Compliance & Record KeepingMaintain proper export documentation files.
  • Ensure documents are prepared accurately and on time.
  • Check HS Code, GST details, IEC details, invoice values, and shipment details.
  • Support management in DGFT, APEDA, Spice Board, FSSAI, or other export-related documentation, if required.
  • Required SkillsGood knowledge of export documentation.
  • Basic accounting knowledge.
  • Knowledge of Tally, MS Excel, Word, and email drafting.
  • Good communication skills.
  • Attention to detail.
  • Ability to follow up and coordinate with multiple parties.
  • Knowledge of GST and export procedures will be preferred.
  • QualificationGraduate in Commerce / B.Com / M.Com / Diploma in Export-Import Management.
  • Minimum 1–3 years’ experience in export documentation preferred.
  • Freshers with export-import knowledge may also apply.

SalarySalary will be based on experience and knowledge.

Preferred Candidate:

Candidate from export company, shipping, CHA, logistics, food/spices/agro export industry will be preferred.
