Job Description
The Front Office Executive is responsible for managing patient interactions, registrations, billing, and coordination with diagnostic departments. The role ensures smooth front desk operations and provides a positive experience for patients visiting the lab.
- 2. Key ResponsibilitiesA. Patient Handling & RegistrationGreet and attend patients/visitors professionally
- Register patients accurately in the system
- Guide patients regarding test procedures and requirements
- B. Appointment & Inquiry ManagementHandle walk-ins, phone calls, and online inquiries
- Schedule and manage appointments for diagnostic services
- Provide information on available tests, packages, and timings
- C. Billing & Cash HandlingGenerate bills for diagnostic services (Pathology, USG, etc.)
- Collect and record payments (cash, card, UPI)
- Maintain daily billing and cash reports
- D. Coordination with Lab & Diagnostic UnitsCoordinate with technicians for sample collection and testing
- Ensure timely processing and reporting of tests
- Inform patients about report collection/delivery
- E. Report ManagementIssue reports to patients (printed or digital)
- Maintain proper record of dispatched reports
- Ensure confidentiality and accuracy
- F. Customer Service & Complaint HandlingAddress patient queries and concerns politely
- Handle complaints and escalate to management when needed
- Ensure high patient satisfaction and service quality
- G. Administrative DutiesMaintain front desk cleanliness and organization
- Keep records of daily patient flow and activities
- Assist in audit and documentation processes
- H. Promotion & Awareness SupportInform patients about available diagnostic services and packages
- Support awareness initiatives such as Cervical Cancer screening
- Educate patients on preventive services like HPV Vaccination when applicable
- Assist in promoting services under MoU with hospitals
