Job Description

Position: Accounts Assistant

Location: Salem

Job Summary:

We are looking for a dedicated and detail-oriented Accounts Assistant to support the day-to-day accounting, billing, sales coordination, and inventory management of the branch. The candidate will be responsible for maintaining accurate records, coordinating customer and monitoring payments, and ensuring smooth operational support for branch activities.


Key Responsibilities:

Accounts & Billing

• Maintain daily accounting transactions and records.

• Record bank receipts, payments, and bank entries accurately.

• Prepare and generate sales invoices and purchase inward entries.

• Monitor customer outstanding payments and follow up for collections.

• Ensure work order billing is completed against customer payments.

• Monitor service charge collections and verify that all cash receipts are properly recorded.

Sales & Customer Coordination

• Prepare and submit quotations to customers.

• Follow up with customers regarding quotations, purchase orders, and material requirements.

• Maintain and track customer Purchase Orders (POs) for future business opportunities.

• Prepare sales orders for spare parts and equipment sales.

• Share daily payment status reports (Live, OD, and Expected Collections) with Head Office before 4:00 PM.

Stores & Inventory Management

• Maintain stock records and monitor inventory levels.

• Ensure reorder level maintenance for stock items.

• Coordinate material follow-up for upcoming service requirements.

Documentation & Administration

• Prepare Delivery Challans (DC) and maintain related records.

• Maintain Purchase Order files and branch documentation systematically.

• Arrange courier services for documents and materials.

• Send dispatch intimations to customers and concerned departments.

• Update branch information boards and maintain operational records.

Required Skills :

• Knowledge of accounting principles and bookkeeping.

• Experience in billing, invoicing, and bank reconciliation.

• Proficiency in MS Excel, MS Office, and accounting software.

• Good communication and customer follow-up skills.

• Ability to handle multiple tasks and prioritize work effectively.

Qualification:

• B.Com, M.Com, BBA, MBA (Finance), or any relevant commerce/accounting qualification.

Experience:

• 1 to 5 years of experience in Accounts, Billing, Administration, or Back Office Operations.

• Experience in inventory management and customer payment follow-up will be an added advantage
