Job Description

Role purpose

We are seeking an experienced and hands-on HR & Admin Executive to lead our people and administration functions during this period of rapid expansion. This is a generalist role suited to someone who can simultaneously manage day-to-day HR operations, drive recruitment to fill 25 to 30 positions in the coming year, reduce attrition (currently ~20% concentrated in greige and checking functions), and oversee office administration across our Surat headquarters, two warehouse locations, and the upcoming Jaipur branch.

The role reports directly to Director Sarth Sadh and offers high visibility across all functions, with significant ownership of the company's people agenda.


Key responsibilities

A. Recruitment & onboarding

•     Lead hiring across all departments — from greige store workmen to mid-level managers

•     Build a sourcing pipeline through job portals, employee references, walk-ins, and local networks

•     Conduct screening interviews and coordinate selection rounds with department heads

•     Manage offer rollouts, joining formalities, documentation, and 90-day onboarding plans

•     Establish hiring partnerships in Jaipur to support the new sales office launch

B. Attrition management & employee engagement

•     Conduct structured exit interviews for every leaver and analyse patterns by department, tenure, and role

•     Identify and address root causes of attrition — particularly in greige store and checking functions

•     Design and roll out retention initiatives in coordination with production heads

•     Run monthly engagement check-ins across departments and surface concerns to leadership

•     Serve as the first point of escalation for employee grievances and disputes

C. Payroll & statutory compliance

•     Coordinate monthly payroll processing across three legal entities (Ajantha Silk Mills, Ajanta Silk, Ajanta Exports)

•     Maintain attendance, leave, overtime, and advance records for all employees

•     Manage statutory compliance: PF, ESI, gratuity, professional tax, and labour welfare fund

•     Coordinate with the Accounts team on salary disbursements, reconciliations, and full-and-final settlements

•     Maintain statutory registers as required under the Factories Act and Shops & Establishments Act

D. KRA, performance management & appraisals

•     Design Key Result Areas (KRAs) for every role in coordination with HODs

•     Run annual appraisals linked to the company's performance MIS scoring system

•     Recommend salary increments, promotions, and incentive structures based on performance data

•     Track productivity baselines per function — meters processed per worker, orders managed per merchant, and similar

E. Office administration

•     Manage office facilities across Surat HO, warehouses (4029 and 4030), and the upcoming Jaipur branch

•     Vendor management for utilities, internet, courier, pantry, and security services

•     Travel planning, ticket booking, and expense reconciliation for sales and merchant teams

•     Asset tracking: laptops, mobile phones, ID cards, uniforms, and shop-floor equipment

•     Oversee office supplies, stationery, and pantry operations

•     Coordinate with the Maintenance team on facility repairs and upkeep

F. Strategic HR contributions

•     Maintain and update the company's manpower planning model and quarterly hiring calendar

•     Build HR dashboards for the Director and MD covering attrition, headcount, cost, and recruitment status

•     Contribute to the long-term vision of scaling the team to 100+ employees by FY 2027-28

•     Support the Jaipur sales office setup end-to-end — recruitment, infrastructure, compliance, and onboarding


Required qualifications

•     Bachelor's degree in any discipline; MBA-HR or PG Diploma in HR strongly preferred

•     3 to 5 years of progressive experience in HR & Admin, ideally in manufacturing or textile environment

•     Working knowledge of Indian labour laws — PF, ESI, gratuity, professional tax, and statutory compliance

•     Strong proficiency in MS Excel for payroll, attendance, and reporting

•     Trilingual capability: fluent in Hindi and Gujarati; functional spoken and written English

•     Demonstrated experience hiring across the workforce spectrum — from workmen to managers

•     Ability to manage payroll and compliance across multiple legal entities


Preferred qualifications

•     Prior experience in a textile mill, manufacturing unit, or industrial setup in Surat or Ahmedabad

•     Familiarity with Tally, Greytip, KekaHR, or equivalent payroll/HRMS systems

•     Experience setting up HR for a new branch office (Rajasthan experience is a plus)

•     Track record of reducing attrition in workmen-heavy environments

•     Familiarity with the Factories Act, Industrial Disputes Act, and Shops & Establishments Act

•     Prior exposure to Google Workspace (Sheets, Drive, Calendar) for day-to-day operations
