Job Description

We are looking for a highly organized, mature and business-oriented Executive Assistant (EA) to Director who can independently manage the Director's Office and become the Director's trusted right hand.

This is not a routine administrative role. We need someone who can understand business priorities, coordinate with senior leadership, manage confidential information, follow up with multiple departments, prepare management reports, and ensure that every commitment made by the Director is executed on time.

The ideal candidate should be proactive, highly professional, detail-oriented, and capable of taking ownership rather than waiting for instructions.

Key ResponsibilitiesDirector's Office Management

  • Independently manage the Director's daily schedule, appointments and business priorities.
  • Handle calendar management, meeting scheduling and conflict resolution.
  • Ensure timely follow-up of every action item assigned by the Director.
  • Act as the first point of coordination whenever the Director is travelling or unavailable.

Business Coordination

Coordinate with:

to ensure smooth execution of management decisions.

Executive Communication

  • Draft professional emails, business letters and official correspondence.
  • Prepare Minutes of Meeting (MOM).
  • Follow up with internal and external stakeholders.
  • Handle confidential communication with complete professionalism.

MIS & Management Reporting

Prepare and maintain:

  • Daily MIS
  • Weekly MIS
  • Monthly Business Reports
  • Sales Reports
  • Production Reports
  • Pending Task Tracker
  • Business Dashboards
  • PowerPoint Presentations
  • Management Review Reports

Meeting Management

  • Organize Leadership Meetings.
  • Prepare Meeting Agendas.
  • Record MOM.
  • Track action points.
  • Ensure timely completion of assigned tasks.

Travel & Event Coordination

  • Manage domestic & international travel.
  • Flight, Hotel & Visa coordination.
  • Business itinerary preparation.
  • Coordinate exhibitions, client meetings and management events whenever required.

Documentation & Confidentiality

  • Maintain confidential company records.
  • Manage agreements, contracts and important documents.
  • Ensure quick retrieval of business information whenever required.
  • Maintain complete confidentiality of strategic business information.
