Contracts Manager

ROLE SUMMARY  

Contracts Engineer is responsible for supporting the contract management process across all stages of an EPC project—ranging from contract review and administration to change management and closure. The role involves interpreting contractual clauses, assisting in drafting correspondences, monitoring compliance, and maintaining proper documentation to safeguard the organization’s contractual and commercial interests. Reporting to the Contracts Manager, the Contracts Engineer coordinates with project, procurement, planning, and site teams to track contractual obligations, manage deviations, and support in the preparation of claims, variations, and other commercial documentation. This role also contributes to risk identification and mitigation efforts while ensuring adherence to client requirements and internal contract procedures.

KEY RESPONSIBILITIES/ ACCOUNTABILITIES

Contract Review & Interpretation

  • Assist in reviewing contract terms and conditions of client contracts, subcontracts, and vendor agreements to ensure alignment with project scope and company standards.
  • Support in interpreting key clauses related to payment terms, scope changes, liabilities, penalties, and dispute resolution mechanisms.
  • Flag potential risks or ambiguities in contracts and escalate them for managerial review.

Contract Administration

  • Maintain records of contractual correspondences, approvals, and change events throughout the contract lifecycle.
  • Track contractual obligations, milestones, and deliverables in coordination with planning, procurement, and execution teams.
  • Draft contract-related letters, notices, and internal memos in accordance with agreed contractual formats and timelines.

Change Management & Claims Support

  • Assist in identifying deviations from the contract scope and support in the preparation of change orders and variations.
  • Coordinate with planning and site teams for gathering substantiation related to delays, disruptions, and scope changes.
  • Support the Contracts Manager in compiling documentation for Extension of Time (EOT) and cost-related claims.

Risk & Cost Management

  • Monitor project execution for early signs of potential contractual or commercial risks and report them for assessment.
  • Ensure documentation of timely notices and records to maintain compliance with contractual terms.
  • Assist in ensuring adherence to legal, regulatory, and internal policy requirements in all contractual activities.
  • Continuous tracking of actual costs vs. budgeted costs to identify variances and recommend corrective actions to stay within budget.
  • Budget planning & monitoring for project cost, invoicing, and collections to maintain financial health and control.

Stakeholder Coordination

  • Liaise with project, planning, procurement, and site execution teams to gather inputs for contract administration.
  • Coordinate with vendors and subcontractors for contract-related deliverables, documentation, and clarifications.
  • Support communication with clients and consultants on day-to-day contract and commercial matters.
  • Project import documents collation and coordination with EXIM/CHA.
  • Coordinate for execution of High Sea Sale agreements and facilitate the establishment of Letters of Credit (LC) and Bank Guarantees (BGs).

Documentation & Reporting

  • Maintain a centralized contract file including original agreements, correspondence logs, and contract change records.
  • Support in preparation of contract dashboards, status reports, and risk trackers for review by the Contracts Manager.
  • Ensure audit readiness through organized recordkeeping and document control.
