Job Description
Job Summary:
We are seeking a proactive and organized Project Coordinator to manage the backend operations of projects. The candidate will be responsible for project coordination, documentation, material management, client communication, purchase coordination, payment follow-ups, and reporting activities to ensure smooth project execution from order receipt to billing completion.
Key Responsibilities:
- Coordinate with clients, vendors, site teams, and internal departments regarding project progress and requirements.
- Manage project documentation, reports, records, and correspondence.
- Handle material planning, procurement coordination, inventory tracking, and material dispatch records.
- Monitor the complete project workflow from Purchase Order (PO) receipt to project closure and billing.
- Coordinate purchase activities and follow up with suppliers for timely material delivery.
- Follow up with clients for payments, approvals, and project-related documents.
- Prepare project reports, status updates, and project trackers.
- Draft and manage professional emails and communication with clients and stakeholders.
- Maintain project data manually using Microsoft Excel, Word, and PowerPoint.
- Ensure proper filing and record management of project documents.
- Support management in project planning, scheduling, and execution activities.
Required Skills:
- Excellent verbal and written communication skills.
- Strong coordination and follow-up abilities.
- Good knowledge of Purchase Management and Billing Processes.
- Understanding of project lifecycle and backend project operations.
- Proficiency in Microsoft Excel, Word, PowerPoint, and Outlook.
- Strong documentation and reporting skills.
- Ability to manage multiple tasks and deadlines effectively.
- Experience in email coordination and client handling.
Qualifications:
- Bachelor's Degree in Business Administration, Commerce, Engineering, or any relevant field.
- 1–4 years of experience in Project Coordination, Operations Coordination, Administration, or Backend Project Management.
- Experience in ELV, Electrical, Construction, Engineering, Security Systems, CCTV, Fire Alarm, or Service Industry will be preferred.
Preferred Candidate Profile:
- Detail-oriented and highly organized.
- Strong problem-solving and coordination skills.
- Comfortable handling project activities without CRM software.
- Capable of independently managing project records, documentation, and follow-ups.
- Professional attitude with a customer-focused approach.
