Job Description

Your Responsibilities:
The Facility & Administration Manager will lead end-to-end facility and administration operations for the India Hub (GCC), ensuring a safe, efficient, compliant, and employee-focused workplace. The role will oversee workplace services, vendor management, office infrastructure, employee support, and operational governance while partnering with cross-functional stakeholders to drive service excellence and cost efficiency.

  • Serve as the primary point of contact for facility and administration operations for the India Hub (GCC).
  • Manage end-to-end administration activities including workplace services, transportation, cafeteria and pantry operations, security, office access, visitor management, and employee support services.
  • Oversee daily facility operations to ensure a safe, compliant, and efficient workplace environment.
  • Manage relationships with facility, security, transportation, and workplace service vendors, including vendor onboarding, performance monitoring, and compliance requirements.
  • Coordinate procurement activities including invoice processing, Purchase Requisitions (PR), Purchase Orders (PO), and Coupa (vendor management portal)-related administration
  • Support employee travel, visa processing, and other administrative requirements.
  • Drive workplace safety, operational efficiency, and compliance with company policies and standards.
  • Manage annual administration budgets, cost planning, and cost optimization initiatives.
  • Support administration audits, vendor due diligence, and documentation compliance.
  • Partner with cross-functional teams including ACC business leaders, HR, Finance, Procurement, IT, Legal and external partners to deliver effective workplace services.
  • Provide timely resolution of facility-related issues and continuous improvement of workplace experience.
Your Profile:
  • 8–12 years of experience in Administration, Facilities Management, Workplace Services.
  • Proven experience managing end-to-end administration and facility operations in a corporate environment.
  • Experience in vendor management, workplace services, transportation, security, and office infrastructure management.
  • Exposure to office relocation, facility transition, or workplace setup projects is highly preferred.
  • Strong understanding of procurement processes, PR/PO management, invoice processing, and vendor management systems such as Coupa.
  • Knowledge of workplace compliance, governance, audits, and operational risk management.
  • Strong stakeholder management, communication, and problem-solving skills.
  • Ability to manage multiple priorities in a fast-paced environment while maintaining high service standards.
