Job Description

Position: Order Taking Staff

Department: Warehouse

Reports To: Warehouse Manager

Job Summary

The Order Taking Staff is responsible for receiving customer orders from sales representatives, branches, and wholesale customers, accurately entering orders into the system, coordinating with the warehouse team for timely order processing, and ensuring error-free order execution.

Key Responsibilities

  • Receive customer orders through phone calls, WhatsApp, email, or sales representatives.
  • Verify product availability, pricing, and order details before processing.
  • Do picking and packing for order fulfillment.
  • Ensure orders are processed within the committed timeline.
  • Inform customers or the sales team about unavailable items or quantity shortages.
  • Prepare order summaries and dispatch-related documents.
  • Coordinate with the billing and dispatch departments to ensure smooth order execution.
  • Follow up on pending, backordered, or cancelled orders.
  • Maintain accurate records of all customer orders.
  • Resolve order-related queries from customers and the sales team.
  • Report daily order status and pending orders to the Warehouse Manager.
  • Assist in preparing daily order processing and dispatch reports.
  • Follow company policies and maintain accuracy in all documentation.

Qualifications:

  • Higher Secondary (Plus Two) or Bachelor's Degree in any discipline.
  • Basic computer knowledge is mandatory.

Skills Required:

  • Good communication skills.
  • Fast and accurate data entry.
  • Basic knowledge of Microsoft Excel and MS Office.
  • Good coordination and teamwork.
  • Strong attention to detail.
  • Time management and organizational skills.
  • Ability to work under pressure during peak order periods.
  • Basic understanding of warehouse operations.

Experience:

  • 0–3 years of experience in warehouse operations, order processing, customer service, or billing is preferred.
  • Freshers with good computer skills may also be considered.
  • Number of orders processed per day.
  • Order processing turn around time.
  • Error-free documentation.
  • Timely working on picking, packing, and dispatch teams.
  • Customer and sales team satisfaction.
  • Daily pending order percentage.
  • Compliance with company procedures.
