SENIOR ACCOUNTANT

Role Objective

To ensure accurate accounting, timely collections, statutory compliance, inventory reconciliation, and financial reporting while supporting the smooth day-to-day operations of Hind Hardware.

Key Responsibilities

1. Accounts Receivable (Priority)

• Raise tax invoices, debit notes, and credit notes.
• Monitor customer outstanding daily.
• Coordinate with the sales team for collections.
• Follow up with dealers regarding overdue payments.
• Maintain customer-wise ageing reports.
• Allocate receipts against invoices.
• Escalate delayed payments to management.

2. Accounts Payable

• Process supplier invoices.
• Verify purchase bills against GRN.
• Schedule vendor payments.
• Maintain supplier ageing.
• Reconcile supplier statements.

3. Banking & Cash Flow

• Daily bank reconciliation.
• Record receipts and payments.
• Prepare daily cash position.
• Coordinate with banks for RTGS/NEFT/cheques.
• Track PDCs.

4. GST & Statutory Compliance

• GST reconciliation.
• Prepare data for monthly GST filing.
• TDS accounting.
• Coordinate with CA for filings.
• Maintain statutory records.

5. Inventory Accounting

Since you are into distribution, this is critical.

• Monthly stock reconciliation.
• Investigate stock variances.
• Track slow-moving inventory.
• Track dead stock.
• Verify physical stock with ERP.
• Monitor expiry stock (especially Pidilite).

6. Financial Reporting

Prepare:

• Daily sales report
• Outstanding report
• Collection report
• Purchase report
• Cash flow report
• Monthly P&L
• Brand-wise profitability
• Territory-wise profitability

7. Scheme & Claim Management

One area many distributors neglect.

• Maintain scheme records.
• Calculate TOD.
• Track cash discounts.
• Follow up for claims from principals.
• Verify credit notes.
• Ensure all eligible claims are received.

8. Brand Reconciliation

For each company (Godrej, Hafele, Pidilite, Modula):

• Ledger reconciliation
• Scheme reconciliation
• Outstanding reconciliation
• Credit note verification
• Incentive reconciliation

9. Audit Support

• Maintain supporting documents.
• Coordinate statutory audit.
• Coordinate internal audit.
• Maintain digital document repository.

10. ERP & Documentation

• Accurate voucher entry.
• Maintain customer master.
• Maintain supplier master.
• Maintain item master.
• File invoices and supporting documents.
