Job Description
Role Summary :
The Project Manager – Civil Construction & Interiors will own end-to-end delivery of civil construction, office interiors, and fit-out projects assigned by Incubex. This is a hands-on leadership role requiring deep technical expertise in civil and interior works, strong client management skills, and the ability to coordinate multi-trade contractors, design consultants, and PMC teams to deliver projects on schedule, within budget, and to the highest quality standards.
This role carries full accountability for project P&L, timeline adherence, quality assurance, safety compliance, and client satisfaction from project award through final handover and defect liability period.
KEY RESPONSIBILITIES:
Project Planning & Scheduling
● Develop comprehensive project plans, Master Schedule (MS Project / Primavera), phased milestone plans, and resource deployment plans aligned with client requirements and contractual timelines.
● Prepare and maintain detailed Work Breakdown Structure (WBS), critical path analysis, and Look-Ahead schedules (3-week rolling plans).
● Conduct thorough review of drawings, specifications, BOQs, and contract documents before project kick-off to identify risks, ambiguities, and gaps.
● Coordinate design freeze with the client and design consultants (architect, structural, MEP, interior designer) before commencement of civil works.
● Plan and sequence multi-trade activities — civil, structural, MEP (HVAC, electrical, plumbing, fire-fighting), interiors, and landscaping — to optimise site productivity and avoid clashes.
● Identify long-lead items (structural steel, glazing, elevators, specialised equipment) and initiate procurement with appropriate lead time buffers.
Civil Construction Management
● Oversee all civil works including excavation, foundations, RCC structures, brickwork, plastering, waterproofing, flooring (tile, marble, hardwood, raised access floor), roofing, and external development.
● Review and approve construction methodology, mix designs, pour cards, and inspection test plans (ITPs) for all concrete and structural works.
● Monitor and enforce concrete quality control — cube testing, slump tests, admixture control — and maintain batch plant and lab reports.
● Manage civil contractor performance against schedule, quality, and safety parameters; conduct daily site rounds and issue daily progress reports (DPRs).
● Review structural drawings with site team and resolve RFIs (Requests for Information) with the structural consultant in a timely manner.
● Coordinate statutory inspections, safety audits, and third-party quality inspections as required by the client or local authority.
Interior Fit-Out & Finishing Works
● Lead execution of all interior fit-out works including false ceiling (GI grid, gypsum board, Armstrong, specialty ceilings), partition systems (glass, gypsum, modular), flooring (carpet, VCT, epoxy, wood), wall finishes, and joinery.
● Coordinate modular furniture, workstation, and loose furniture installation with vendor, client, and design team.
● Manage glazing and facade works, window systems, entry doors, fire-rated partitions and doors, and specialty hardware installation.
● Oversee signage, wayfinding, branding elements, and artistic/feature wall installations as per interior design specifications.
● Ensure all finishing specifications (paint shades, material grades, veneer, laminates, stone selection) are approved by the client before procurement and execution.
● Conduct pre-handover snagging inspections; track snag closure with a 100% clearance target before handover.
MEP Coordination & Integration
● Act as the single point of coordination for all MEP works on-site — HVAC (ducting, AHU, chillers, VRF), electrical (HT/LT, UPS, BMS, CCTV, access control), plumbing & drainage, fire-fighting (sprinkler, hydrant, FM200), and data/structured cabling.
● Review MEP shop drawings and ensure spatial coordination through BIM clash detection or manual RCP (Reflected Ceiling Plan) reviews.
● Coordinate MEP testing and commissioning with sub-contractors; ensure all systems are operational and certified before fit-out completion.
● Liaise with utility providers (BESCOM, BWSSB, telecom operators) for power, water, and connectivity connections for the facility.
● Ensure MEP installations comply with NBC 2016, ECBC, IGBC / LEED requirements as applicable to the project.
Cost Management & Procurement
● Own the project budget from award to closeout; track budgeted vs. actual cost on a weekly basis and report variance with corrective actions to senior management.
● Review and approve contractor running account (RA) bills, supplier invoices, and sub-contractor work-done certificates against agreed rates and measured quantities.
● Manage project contingency, variation orders (VOs), and change requests; obtain client approvals for all cost variations before commencement.
● Prepare and submit monthly project cost reports, cash flow projections, and final account statements.
● Drive value engineering (VE) opportunities throughout the project lifecycle to improve margins without compromising quality or client expectations.
● Coordinate with the procurement team for material procurement, vendor negotiations, rate contracts, and purchase order issuance.
Quality Assurance & Control
● Implement and maintain a site-specific Quality Management Plan (QMP) aligned with ISO 9001 standards and client specifications.
● Prepare and maintain Inspection Test Plans (ITPs), Method Statements (MS), and material approval requests (MARs) for all trades.
● Conduct periodic quality audits, material inspections at factory / off-site, and in-process inspections at site.
● Maintain Non-Conformance Reports (NCRs) and ensure corrective actions are implemented and closed within agreed timelines.
● Ensure materials used on-site are approved samples, tested, and meet project specifications — no substitution without written approval.
● Manage and maintain a comprehensive site documentation system: RFIs, submittals, approvals, test reports, and quality records.
Health, Safety & Environment (HSE)
● Implement a site-specific HSE Plan, conduct daily toolbox talks, and enforce use of PPE (helmets, safety shoes, harness, gloves, goggles) for all workers and visitors on-site.
● Conduct weekly safety walks and monthly HSE audits; track and close all near-miss reports and hazard observations.
● Maintain statutory compliance — Labour Law registers, workmen’s compensation insurance, scaffolding permits, work-at-height permits, and hot-work permits.
● Ensure site hoarding, signage, and pedestrian segregation are in place at all times, particularly on occupied-campus projects.
● Report and investigate all accidents and incidents within 24 hours; implement root cause corrective actions and document learnings.
● Achieve a target of ZERO Lost Time Incidents (LTIs) across all projects.
Client & Stakeholder Management
● Serve as the primary point of contact for the client project team, PMC, and design consultants throughout the project duration.
● Conduct weekly project review meetings with the client; prepare and distribute project status reports, schedule updates, and risk logs.
● Manage client expectations proactively; flag potential delays, cost impacts, or design conflicts early and present solutions alongside the issue.
● Coordinate with client’s IT, HR, finance, and operations teams for occupancy planning, phased handovers, and decant sequencing.
● Obtain client sign-off at key project milestones: design approval, material approval, structural handover, fit-out completion, and final handover.
● Ensure client satisfaction scores (CSAT) of 4.5 / 5.0 or above on post-project surveys.
Team & Contractor Management
● Lead and mentor the site team comprising Site Engineers, Site Supervisors, HSE Officers, and QC Inspectors assigned to the project.
● Set clear KPIs for each team member; conduct weekly reviews and monthly performance assessments.
● Manage multi-trade contractor teams simultaneously; resolve inter-contractor conflicts, coordinate joint surveys, and enforce site access protocols.
● Facilitate subcontractor onboarding, safety induction, and tool/equipment inspection before commencement of work.
● Identify and escalate underperforming contractors; initiate replacement or corrective action with documented justification.
Documentation & Reporting
● Maintain complete project documentation including daily progress reports (DPRs), weekly project reports (WPRs), MOM for all meetings, inspection records, and variation logs.
● Prepare and submit project closeout documentation: As-Built drawings, O&M manuals, equipment warranties, material test reports, and statutory clearance certificates.
● Maintain project health dashboards (schedule S-curve, cost burn rate, quality scorecard, safety stats) and present to leadership in monthly project review meetings.
● Ensure all project records are filed systematically in both digital (cloud) and physical formats as per Incubex’s document control policy.
