Transportation coordinator

KEY RESPONSIBILITIES Dispatch Coordination – Coordinate daily dispatch schedules with warehouse operations and the customer's logistics team. – Ensure customer-arranged vehicles are loaded and released within the agreed dispatch timelines. – Monitor vehicle arrival, loading turnaround time (TAT), and gate-out activities. – Prioritize urgent and time-sensitive shipments. Customer & Transporter Coordination – Act as the operational interface between the warehouse, customer logistics team, and customer-appointed transporters. – Coordinate vehicle placement as per the customer's dispatch plan. – Escalate vehicle delays or operational issues to the customer promptly. – Provide proactive shipment status updates until delivery. Documentation – Prepare and verify dispatch documentation, including invoices, e-way bills, packing lists, delivery challans, and LR copies. – Ensure all documentation is complete before vehicle departure. – Maintain accurate dispatch records for audits and customer reporting. Shipment Tracking & POD Management – Track shipments until successful delivery. – Follow up with customer-appointed transporters for Proof of Delivery (POD). – Maintain POD records and ensure timely closure of dispatch documentation. Transport Coordinator – Escalate delayed deliveries or missing PODs. Operational Coordination – Work closely with warehouse teams to ensure orders are picked, packed, staged, and loaded as per dispatch schedules. – Coordinate resolution of dispatch-related issues to avoid service disruptions. – Support reverse logistics and returns coordination where applicable. MIS & Reporting – Prepare daily dispatch reports, shipment tracking reports, POD status reports, and pending dispatch trackers. – Maintain dispatch dashboards and customer MIS. – Support monthly operational reviews with accurate data. Compliance & Safety – Ensure compliance with customer SOPs, loading procedures, and statutory documentation. – Monitor safe loading practices and vehicle turnaround times. – Support warehouse audits related to transport and dispatch operation
